    Job Description

    What We Want International Student and Scholar Services (ISSS) is seeking a creative and organized Program Coordinator I to contribute to the international experience at our university. In this role you will support the planning, development, and implementation of programs that serve international students, scholars, and their families, including our signature International Aggie Graduation Reception. Additionally, you will be the voice behind our communications by managing inboxes, listservs, and social media. The Program Coordinator I advises and supports international student organizations, serves on university-wide committees, and contributes to a welcoming campus environment. Ideal candidates will have experience in event coordination, student engagement, and cross-cultural communicatio n.

     

    What You Need to Know

     

    Salary: Compensation will be commensurate to the selected hire’s experience.

    Other Requirements and Factors:

    + Must be able and willing to handle food, including purchasing, transporting, and serving.

    + Must be able and willing to visit local vendors to purchase and transport supplies and food for events and programs. Transportation will not be provided.

    + Must be able to lift, move, or carry light to medium weight objects for event coordination.

    + Must be willing to work some evenings, weekends, and holidays.

    + Must be willing to work on- and off-campus.

    + Required to handle protected health information (PHI) as defined by HIPAA regulations in accordance with Texas A&M System policy.

    + Must be able to work from the office.

    + Required to complete HIPAA training as a condition of employment, within a reasonable timeframe after the individual’s hire date, and on an as-needed basis thereafter.

    + Travel may be required.

    + Remote work may be required.

    Essential Duties/Tasks

    Program Planning and Implementation

    + Plans and coordinates employment webinars by preparing proposals including budgets, coordinating event registration and attendance, managing event logistics, and also coordinating after event debriefs.

    + Plans and coordinates the International Aggie Graduation Reception by preparing event proposals, maintaining program budgets, scheduling venues, communicating with vendors, coordinating event registration and attendance, managing event logistics, and also coordinating after event debriefs.

    + Plans and coordinates tabling events by setting up informational materials, answering questions, collecting contact information, and representing the ISSS in a professional and approachable manner to promote organizational programs, recruit volunteers, and engage with community members.

    + Coordinates ground shuttle and Uber reservations as needed.

    + Organizes welcome bags, including the mailing of welcome bags to non-Bryan/College Station locations.

    + Runs errands as needed to local businesses such as Copy Corner and Arch Printer Center to support event needs.

    Customer Service, Marketing, and Communication

    + Manages the ISSS Programs email inbox, reads and checks the inbox frequently, and forwards messages as needed to the appropriate staff member.

    + Supports the creation of standard operating procedures for the ISSS Programs email inbox.

    + Supports the creation of a Listserv for ISSS Programs.

    + Sends out email communication to various stakeholders as needed in support of other members of the ISSS team.

    + Prepares and sends online birthday cards for each international scholar at the University.

    + Updates the Bryan/College Station events website as needed.

    + Updates the ISSS departmental social media accounts such as Facebook, Instagram, and LinkedIn.

    Student Organization Support

    + Acts as a resource for student organizations such as Aggie Global Guides, ISMA, and International Student Association (ISA).

    + Develops and maintains relationships with students and stakeholders.

    + Provides input to student organizations on programming initiatives.

    + Advisor to the Aggie Global Guides and International Student Mentors Associate ISMA.

    + Liaison for the ISA.

    Committee Membership

    + Services/chairs committees such as the Global Welcome Party, New International Student Orientation, and Wrap Around Services.

    Qualifications

    Required Education and Experience

    + Bachelor’s degree or equivalent combination of education and experience.

    + Two years of related experience.

    Preferred Qualifications

    + Bachelor’s degree or higher.

    + Experience working at an institution of higher education.

    + Experience working with people of different backgrounds.

    + Active member of NAFSA: Association of International Educators and/or other international or academic organizations.

    + Familiarity with U.S. immigration policies and procedures.

    + Familiarity with Texas A&M University campus and culture.

    + Knowledge of Microsoft Office 365, especially Word, Excel, and Outlook.

    + Experience supervising student employees.

    + Experience using social media platforms in a professional capacity.

    Preferred Knowledge, Skills, and Abilities

    + Experience with program coordination, event planning, and/or external communication for various audiences, especially international students, scholars, and/or their dependents.

    + Good working knowledge of word processing, spreadsheet, and database applications as well as presentation software programs, social media platforms, and web-based communication platforms, such as Zoom.

    + Strong ability to multi-task and work cooperatively with others.

    + Strong ability to also work independently.

    + Excellent and effective verbal and written communication skills.

    + Consistently effective organizational, interpersonal, and problem-solving skills.

    + Consistent attention to detail and sound judgment.

    + Experience with comprehending and communicating complex information effectively and diplomatically as well as critical thinking.

    + Skilled at relating well with a student population.

    + Ability to provide exceptional customer service to many customers at the same time, including ISSS clientele.
