    SUMMARY:

    Our Office Manager is one of the faces of our organization, and therefore should have excellent people and communication skills in order to best work with our customers, vendors and visitors. They must provide efficient and professional support to Management Staff. They are responsible for all office functions which include, but are not limited to, managing supplies, maintaining safety inspections and monthly safety training, assisting with the new hire process and processing requisitions. May report to multiple managers and must be able to perform with minimal direct supervision while maintaining the main office areas. Assist management by contributing fresh ideas for improvement that help us be more effective and efficient.

    DUTIES AND RESPONSIBILITIES:

    + Receive visitors and calls at the front desk by greeting, directing, and/or announcing them appropriately.

    + Compile, copy, scan, sort, and file documents.

    + Assist with scheduling and coordinating meetings as requested.

    + Maintain the safety and appearance of the front office areas including the restrooms, conference room, break area, supply room and main lobby area.

    + Compile and process data. Generate and prepare documents as requested.

    + Operate office machinery such as copiers, scanners, printers, radios, tablets, and personal computers.

    + Maintain the inventory of consumable office, production and cleaning supplies including the replenishment and distribution.

    + Create, scan, and distribute supply requisitions to appropriate personnel.

    + Process approved supply requisitions, create POs and order approved items.

    + Assist with new hire process which includes posting new openings, scheduling interviews, following up with new hire paperwork, conducting orientations and maintaining employee files.

    + Address employee HR inquiries, perform staff surveys, assist with coordination of staff meetings, and assist with projects promoting employee engagement including assisting with activities and celebrations.

    + Investigate safety issues and fill out Incident Reports when needed to be submitted to Plant Manager for follow up.

    + Perform monthly fire and safety checks. Organize and lead monthly safety training.

    + Assist with monitoring and scheduling annual wet system, backflow, fire alarm and fire extinguisher inspections.

    + Assist with daily audits of inventory transactions.

    + Maintain relationships with facility management vendors, including, but not limited to, cleaning, janitorial material, vending machines, and security services.

    + Other duties as assigned.

    SKILLS AND ABILITIES:

    + Basic reading and writing in English, and basic arithmetic skills required. This is normally acquired through a high school diploma or equivalent.

    + Self-starter able to function effectively in a fast-paced growing company and adapt to change.

    + A strong sense of urgency and impeccable follow through.

    + Ability to work independently or in group settings.

    + Excellent attention to detail.

    + Flexible and able to multi-task.

    + Superb time management and organization skills.

    + Strong computer skills with an emphasis on typing, Microsoft Word, and Excel.

    + Ability to establish and maintain effective working relationships with co-workers, vendors, and customers.

    + Able to work overtime as needed.

    + Able to report to work on time each workday.

    + Must have a positive attitude and strong work ethics.

    WORK ENVIRONMENT AND PHYSICAL DEMANDS:

    Working conditions are normal for an office environment. The warehouse area is not climate controlled and can get hot during summer and cold during winter months. Must be able to hear, speak, reach, bend, twist, squat, push and pull. Must be able to perform tasks in a sitting position for extended periods of time.

    **Pay Details:** $20.00 to $23.00 per hour
