    The University of Miami/UHealth Calder Library of has an exciting opportunity for a Full Time Manager, Library Services to work medical library campus in Miami, Fl.

    CORE SUMMARY

    The Manager, Library Services oversees the daily operations and activities of the intra-library loan-reserves unit. Further, the incumbent supervises, hires, orients, trains, evaluates, and monitors the performance of intra-library Loan staff. The Manager, Library Services also works closely with senior leadership to develop overall departmental goals and objectives. As the Inter library Loan Manager, the person in this position has responsibility for processing all Lending and Document Delivery requests from and to other libraries, including setting priorities so that requests deadlines are met daily. This person will be responsible for more complex lending requests, problems, and processing and for creating training materials for ILL staff and when available student employees. This position ensures that faculty, researchers, medical students, and healthcare professionals have timely access to critical medical literature to support clinical decision-making, biomedical research, and medical education. The ILL Manager works collaboratively with internal departments, national and international library networks, and consortia to facilitate efficient resource sharing while ensuring compliance with copyright laws and institutional policies. In addition to facilitating borrowing and lending, the ILL Manager provides customer service by assisting patrons with requests and resolving issues related to delays or unavailable materials. They analyze data and prepare reports on request volumes, turnaround times, and fulfillment rates, so Library Administration can assess service efficiency and justify funding needs. The ILL Manager also trains and supervises an ILL staff member, ensuring best practices and high service standards. Their role is essential in expanding access to scholarly resources and optimizing the library’s resource-sharing capabilities.

    CORE JOB FUNCTIONS

    1. Hires, orients, trains, evaluates, and supervises intra-library loan staff and student assistants.

    2. Prepares and approves work schedules and timesheets in a timely manner for all unit employees and student workers.

    3. Oversees and utilizes staff to see that course reserves are posted promptly to Blackboard and that physical items are processed and made available to students in a reasonable turnaround time.

    4. Monitors overall workflow in ILL/Reserves and establishes priorities.

    5. Implements, interprets, and enforces departmental, library, and University policies, and ensures unit compliance with copyright laws.

    6. Educates users about how to use ILLiad and course reserves.

    7. Develops and maintains useful documentation and procedures in print and on internal and external libraries websites on a continual basis.

    8. Markets intra-library loan and course reserves to the campus community to increase usage numbers.

    9. Serves as primary contact when difficulties occur with staff and library patrons or external clients.

    10. Informs faculty and campus community of changes and updates to ILL/Reserves policies or procedures.

    11. Monitors and updates unit webpages to reflect new information.

    12. Prepares and reports statistics on a monthly and annual basis.

    13. Prepares and monitors unit budget for student assistants, supplies, and special projects.

    14. Troubleshoots system malfunctions and customizes and integrates software for more efficient patron usage.

    15. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

    QUALIFICATIONS

    Education: Bachelor’s Degree in relevant field

     

    Experience: Minimum 5 years of relevant experience, preferably in a medical school, hospital library, or an academic health sciences library experience

    Knowledge, Skills and Attitudes:

    + Knowledge of business and management principles.

    + Ability to direct, manage, implement, and evaluate department operations.

    + Ability to establish department goals, and objectives that support the strategic plan.

    + Ability to effectively plan, delegate and/or supervise the work of others.

    + Ability to lead, motivate, develop, and train others.

    Department Specific Functions

    + Process regular and rush priority lending requests according to detailed instructions and using software such as: Docline, OCLC WorldShare, USearch, Alma, PubMed, and Cognito Forms. This involves searching using specialized search techniques and evaluating information to determine further actions

    + Process document delivery requests

    + Process copyright clearance for borrowing requests

    + Receive and process materials from lending libraries (via mail, courier, Odyssey and E-mail) and prepare materials for delivery to library users

    + Coordinating shipping for all returning items to Lending Libraries

    + Coordinate and set priorities for Lending or Borrowing operations

    + Maintain awareness of Interlibrary Loan copyright compliance

    + Assist with billing invoices for services provided

    + Know and apply policies and procedures to facilitate electronic delivery of documents to other universities and libraries.

    + Coordinate the pickup and drop-off of material from the other University of Miami Libraries

    + Retrieve materials from stacks, prepare materials for Document Delivery and oversee delivery of ILL materials to other libraries (via mail, courier, international shipping, Email, and fax)

    + Establish and apply procedures for timely processing of overdue items, conditional pending items, renewals, resends, and problem requests for ILL; this involves using specialized search techniques and judgment to select, interpret, and process records for further actions

    + Routinely checks and responds to voice messages and lending Emails

    + Prepare Statistical Data Reports for Library Administration

    + Maintain positive customer relations with faculty, students and staff, vendors, authors and publishers

    + Assist with the Library Services desk and other library-wide projects as assigned

    + Collaborate with the Learning, Research, and Clinical Information Services (LRCIS) department to enhance library services.

    + Participate in library committees and teams as needed

    + Participate in training programs and workshops

    + Assist with maintaining up-to-date procedures manuals for Interlibrary loan/document delivery operations

    + Familiarity with SELFLIN, NNLM, and national medical library consortia

    + Knowledge of International interlibrary loan procedures for accessing medical literature

    + Experience with EZproxy or other authentication systems to facilitate remote access to medical literature
