The University of Miami/UHealth Department of Anesthesiology has an exciting opportunity for a full-time Sr. Project Coordinator (H) to work in Miami, FL.to work in Miami, FL. The Senior Project Coordinator coordinates project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. In addition, this job also prepares comprehensive action plans that detail available resources, timeframes and budgets for projects.CORE JOB FUNCTIONS
+ Assists with the assignment of tasks to internal teams to include schedule management.
+ Assists with budget preparation and tracks all project related expenditures.
+ Monitors project progress and addresses any issues that arise. Assists with the identification of completion shortfalls.
+ Acts as the point of contact and communicates the project status to relevant stakeholders. Communicates timeline changes and new information to project team.
+ Creates and maintains comprehensive project documentation, plans and reports. Ensures all needed documentation is current and properly filed and stored.
+ Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
+ Organizes, attends and participates in project meetings.
+ Prepares necessary presentation materials for project meetings.
+ Records minutes and takes detailed notes during meetings.
+ Evaluates current procedures and recommends changes to improve the efficiency of planning and scheduling of projects.
+ Adheres to University and unit-level policy and procedures and safeguards University assets.
Department Specific Functions
+ Exercises discretion and independent judgment in daily activities and should be able to work with minimal supervision.
+ Completes special assignments requiring collecting, organizing, and analyzing data which may be the basis for significant decisions.
+ Provides comprehensive administrative support to the Chair, Senior Manager of Administrative Operations, and Manager of Administrative Operations
+ Independently handles complex assignments and resolves clerical issues referred by faculty attendings or administrators.
+ Coordinates, analyzes and recommends changes of administrative activities and procedures which may include personnel, budget preparation and record maintenance.
+ Ensures completed work products meet required timelines and standards of quality and quantity.
+ Identifies problems and opportunities, prepares status summary for supervisor, and makes recommendations as appropriate.
+ Handles unique situations with sound judgment and discretion, adapting responses to the specific needs of each contact.
+ Initiate appropriate follow-up/action when necessary.
+ Preparation of presentations, publications (articles and books), operational reports and grants.
+ Responsible for coordinating administrative meetings and documenting minutes for sessions led by the Chair and Vice Chair.
+ Prepares PowerPoint presentations, updates CVs on the University’s Digital Measures platform, assists with lecture materials, and drafts recommendation letters.
+ Assists in the design and administrative implementation of communication enhancements, as well as the monitoring and enforcement of compliance standards.
+ Organize the Anesthesiology Grand Rounds Visiting Professor Series from beginning to end, that is hotel accommodations, honorarium fees, visiting agenda, faculty dinners and other miscellaneous travel planning for the visitors.
+ May assist with faculty recruitment, reappointment, promotion and tenure process.
+ Act as back-up for the other Clinical Program Coordinator at JMH, when cross-coverage is requested.
+ Manages the calendar of the Senior Manager of Business Operations and provides routine clerical support, including tasks related to patient care, student services, reporting, and statistical data.
+ Answers telephones, take messages, answer routine questions, and transfer calls to appropriate individuals.
+ Greets visitors and callers, addresses their inquiries, and directs them to the appropriate individuals based on their needs.
+ Negotiates the purchase of office supplies and equipment and oversees receiving and shipping units for office departments.
+ Prepares financial documentation—including reimbursements in Workday, purchase orders, work orders, and check requisitions—for the Chair, Vice Chair, visiting professors, faculty recruits, and other departmental guests.
+ Ensures that technical / research personnel are informed of and comply with UM fiscal and personnel policies and procedures.
+ Drafts general correspondence for departmental distribution as directed by an administrator.
+ Serves as the departmental liaison with facilities administration and housekeeping to ensure that departmental facilities are appropriately maintained.
+ May provide ancillary support to physicians, clinical activities, business services, student services, etc.
+ Performs other duties as assigned.

+ High School Diploma or equivalent
+ Minimum 3 years of relevant experience required
+ Ability to communicate effectively in both oral and written form.
+ Ability to maintain effective interpersonal relationships.
+ Ability to work independently and/or in a collaborative environment.
+ Ability to accurately prepare and maintain records, files, reports and correspondence.
+ Ability to understand and follow instructions.
+ Skill in completing assignments accurately and with attention to detail.
+ Ability to manage a budget and work within the constraints of that budget.
+ Ability to process and handle confidential information with discretion.
+ Proficiency in computer software (i.e. Microsoft Office).
