Hours per Pay Period: 1.00 = 80 hours every two weeks (Non-Exempt)
Starting Wage DOE: $35.34 - 44.18
The Application Analyst II is a primary technology resource for clinical, financial, and/or third-party information systems within a business unit and/or division. This role is integral in the planning, design, and operational support of business solutions that enhance productivity and efficiency. In addition, in this specialty role there will be oversight and hands-on expertise in REI fertility billing, collections, insurance contracting, financial counseling, and electronic health record optimization.
Essential Job Functions
• Serves as subject matter expert for fertility billing packages (IVF, donor egg, FET, preservation, etc.) and payer REI contracts in combination with our payer relations department.
• Assists with technology and full fertility revenue cycle: coding, charge entry, claims submission, denial management, payment posting, and reconciliation.
• Leads optimization and maintenance of EHR for REI workflows, including charge capture, reporting, template development, and training of clinical and admin staff.
• Partners with Finance, Revenue Cycle, and IT teams to ensure compliance with regulatory requirements, payer contracts, and internal audits.
• Analyzes revenue cycle KPIs and present performance metrics to leadership.
• Provides support for financial counseling for patients, ensuring transparency in pricing, coverage, and payment planning.
• Responsible for documenting system configuration, data analysis, and operational support to meet business needs.
• Documents system configurations, processes, and operational standards to ensure efficiency and continuity of support.
• Provides technical expertise as a consultant to end-users and is accountable for delivering ongoing training and education within assigned support areas.
• Creates and maintains comprehensive user documentation and guides, supporting continuous learning and system familiarity for end-users.
• Monitors system performance proactively, identifying potential issues early and coordinating resolutions to maintain system reliability.
• Assists in quality control and testing processes, verifying system updates meet organizational standards and align with user needs.
• Assist in training and mentor staff in financial counseling and billing best practices.
• Provides consistent, reliable support for assigned systems, addressing and troubleshooting user issues to maintain system functionality and performance.
• Participates in the implementation, upgrade, and update processes for systems, ensuring smooth transitions and minimal disruptions for end-users.
• Develops and delivers user training sessions, adapting content for various learning needs and ensuring users can effectively utilize system features.
• Coordinates with cross-functional teams on projects, contributing to planning timelines, goals, and deliverables to achieve project objectives.
Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.
• Performs all other duties as assigned or as needed to meet the needs of the department/organization.
Minimum Qualifications
Education
• Four (4) year Bachelor’s degree required in Healthcare Administration, Business, Finance, or related field.
Experience
• Seven (7) years of progressively responsible experience in revenue cycle.
• Five (5) years of revenue cycle experience specific to fertility/IVF, strongly preferred.
• Proven experience and expertise in financial counseling and patient education regarding fertility services.
• Experience working with diagnosis/charge codes, prior authorization, payer rules, and global billing packages.
Certifications and Licenses
• Valid Driver License/The ability to be insured to operate organizational vehicles/travel, if requested - At hire.
