    The Administrative Assistant provides support to their assigned Regional President(s) by providing support, arranging travel and correspondence, scheduling meetings, and coordinating events such as regional meetings, leadership conferences, annual executive strategy sessions, and other corporate events. The Administrative Assistant maintains a strong sense of urgency and has strong ability to prioritize tasks based on executive’s needs while anticipating additional needs ahead of time.

     

    The Administrative Assistant reports to the Executive Administrative Assistant.

    Responsibilities

    + Act as the point of contact between the Regional Presidents and internal/external clients.

    + Undertake the tasks of receiving calls, take messages and routing correspondence.

    + Handle requests and queries appropriately.

    + Provide back-up support of the monitoring and ordering of office supplies.

    + Maintains relationships with external partners such as investors, manufacturers, and others.

    + Produce and/or collect reports and presentations materials as requested.

    + Correspondence preparation: typing or editing emails, memos, and other correspondence.

    + Meeting and calendar management: manage executives’ calendars, schedule meetings, prepare agendas, operate audio-visual systems during meetings, and help ensure that meetings don’t exceed time limits.

    + Travel preparation: schedule flights, make hotel reservations and coordinate out-of-town meetings.

    + Event management: schedule and prepare logistics for corporate events.

    + Ensures efficiency of process and improves when necessary.

    + Other duties as assigned.

    + Bachelor’s degree in communications, marketing, public relations, preferred, but not required
