    Position Details

    •PDHC Administrative Assistant🌟Position Overview

     

    ThePDHC Administrative Assistantplays a key role in keeping our Pediatric Day Health Center running smoothly. This position overseesday-to-day office operationsand providestop-tier customer serviceto both internal and external clients, supporting all clinical and operational activities within the branch.

     

    •️Essential Job Functions

    + Support theAdministrative DirectorandClinical Managerin organizing front office operations.

    + Maintainnurse licensure and credential expirationsto ensure compliance with state and federal regulations.

    + Order and managesuppliesfor clinical operations — including forms, medical provisions, equipment, and marketing materials.

    + Assemble and submitnew employee paperworkto corporate for processing.

    + Triage callsto support clinical and staffing operations.

    + Accurately enterpatient and employee datainto SAM.

    + Compile and enterQI datafor monthly tracking.

    + Sort, file, and maintainpatient and employee records.

    + Prepare and copyorientation packetsfor new hires.

    + Greet visitors, assist families, and direct them to appropriate staff.

    + Documentpick-up and drop-off timesfor children (center-based positions only) and prepare transportation and attendance reports.

    + Maintain knowledge ofemergency proceduresand assist nursing staff as needed.

    + Report all complaints immediatelyto the administrator.

    •Requirements

    + High school diploma or GED.

    + Minimum oftwo (2) years of general office experience.

    + Proficienttyping and Microsoft Officeskills.

    •Preferences

    + Experience inpayroll and/or human resources.

    + Background inprivate duty, home care, or healthcaresettings.

    + Advanced Excelskills a plus.

    •Skills & Abilities

    + Maintainconfidentialityand professional boundaries.

    + Remaincalm, organized, and professionalin stressful situations.

    + Strongattention to detailandtime management.

    + Effectiveproblem-solving and conflict resolutionabilities.

    + Excellentcommunicationandorganizationalskills.

    •Physical Requirements

    + Ability tospeak, read, write, and understand English.

    + Frequent lifting or carrying up to25 lbs; occasional lifting up to 50 lbs.

    + Ability towalk, stand, bend, kneel, and twistfor extended periods.

    + Ability tosit and climb stairsas needed.

    + Must haveadequate vision and hearing acuity.

    •Work Environment

    + Performs duties in anoffice environmentduring agency operating hours.

    + Must be able to function invaried environments, which may involve exposure to allergens or other conditions.

    + Possible exposure toblood, bodily fluids, or infectious diseases.
