    Job Summary

    This position is under the College of Engineering's Associate Dean for Graduate & Professional Education (ADGPE) and oversees and manages the daily operations and activities of the interdisciplinary graduate degree programs that are administratively housed under ADGPE. Currently these include the Macromolecular Science and Engineering, Design Science, and Engineering Education Research programs.

     

    The Program Administrator will partner with the Program Directors and associated faculty, Associate Dean's office, college, and colleagues throughout the university to create and maintain an effective and robust administrative and program structure.

    Responsibilities*

    Administrative Leadership & Support:

    + Provide leadership for program administration, with daily oversight and management

    + Support of Program Directors in strategic planning, decision-making, and program needs

    + Oversight/coordination of program events, activities, and meetings

    + Administrative policies, confidentiality, compliance, and workflows

    + Negotiate special agreements, MOUs, etc.

    + Conflict/issue resolution for all areas

    Human Resource Management:

    + Supervise staff and student positions through all employee life-cycle processes including: hiring, training, performance, promotion, compensation, recognition, mentoring, etc.

    + Manage and process all academic/instructional and administrative faculty, staff, and student HR activities

    + Initiate e-Recruit and PAR transactions/approvals (hiring, additional pay, termination)

    + LEO & GEO contract knowledge and compliance

    Financial, Research, and Business Management:

    + Fiscal planning including budget forecasting, account management, resource allocation

    + Expenditure and revenue management, status reporting

    + Travel, hosting, purchasing, reimbursement systems transactions and management

    + Internal controls, compliance, policies, procedures, monitoring reports (M-Reports, Tableau, Business Objects)

    + Required reporting, certifications, etc. (i.e. Rackham annual reports, GAP analysis)

    + Faculty and student research awards administration (internal & external grants)

    Academic Program & Student Services Management:

    + Track student funding and process fellowships

    + Maintain oversight of academic program activities and student services, such as recruitment, admissions, advising, program curriculum, program assessments

    + Ensure effective policies, procedures, compliance, and resources are in place

    Communications Management:

    + Manage program websites, print and social media, email communications (Constant Contact), etc.

    + Manage U-M MCommunity and shared Google email groups

    Facilities, Equipment, & IT Management:

    + Manage unit knowledge portals/IT systems such as local servers, shared drives

    + Manage facilities/space and general/IT equipment needs

    Required Qualifications*

    + Bachelor's degree or equivalent combination of education and experience

    + 3-5 years of higher-level professional experience in administrative roles, preferably in an academic setting

    + Previous experience supervising staff

    + Demonstrated financial management skills and experience, including budgeting, expenditure projection, and transactional processing

    + Demonstrated experience in generating and analyzing complex data/information, preparing/presenting reports, and contributing to decision-making and business needs

    + Proficiency in Microsoft Office applications (Excel, PowerPoint, Word), Google applications (Gmail, Calendar, Drive, Docs), Adobe Acrobat, DropBox, or equivalent systems/tools

    + Excellent project management, organizational, analytical, and critical thinking skills

    + Demonstrated ability to exercise professionalism in handling confidential and sensitive information

    + Demonstrated ability to multi-task, prioritize, problem-solve, and adapt to changing needs and priorities

    + Excellent written and verbal communication, presentation, and interpersonal skills

    + Demonstrated strong collaborative working style with the ability to work both independently and as a member of a team in a dynamic environment

    Desired Qualifications*

    + Experience in interpreting, managing, and ensuring compliance with internal controls, policies, and procedures

    + Proficiency with Oracle Peoplesoft (M-Pathways, M-Reports, database warehouses) and Tableau, or equivalent systems/tools
