Description for Internal Candidates
The Executive Assistant supporting President, AHS of Chilton Medical Center
Responsible for leading and directing the administrative needs of the leader to whom s/he provides supports and is accountable for specific functional work products of the department. Applies forward thinking and works independently with little to no supervision. Demonstrates a high degree of business acumen, sound judgment and discretion in decision-making, problem-solving and project management in a fast-paced, high-performance environment. Models a high level of sophistication, confidentiality and integrity due to the highly sensitive nature and/or complexity of the work and associated interactions. Acts as a role model to peers fostering teamwork, collaboration, and integration among team members and leaders.
Principal Accountabilities:
+ Provides global administrative support primarily to the President , AHS of Chilton Medical Center Exercises discretion and independent discernment on key issues while assisting the Senior Leader with the execution of daily activities, including handling a complex and dynamic global calendar and related logistics, coordinating domestic and international travel and processing expense reports etc.

+ Manages and schedules meetings and appointments, plans participation, provides onsite coordination, technical support, and tracking of action items
+ Anticipates needs and proactively assembles the appropriate people and resources to solve problems
+ Manages contacts for the Leader, understands their priorities, and keeps track of communications and needs
+ Fields incoming requests; exercises strong judgment and discretion with highly confidential information interacting with top-level contacts on highly sensitive information necessitating considerable use of tact, reasoning skills and diplomacy, and communicating and interacting with internal stakeholders, external customers, internal and external partners, media and vendors
+ Leads, drives and executes on various team events, socials, offsite meetings, etc.
+ Works multi-functionally to ensure communication is efficient and clear between teams
+ Coordinates logistics for visitors
+ Prioritizes assignments and tasks with minimal direction and has authority to delegate as appropriate.
+ May perform a variety of other administrative duties such as processing invoices, vouchers, purchase orders, human resources, and budgets.
+ Manages and schedules meetings and appointments, plans participation, provides onsite coordination, technical support, and tracking of action items.
+ Assists in problem resolution by anticipating needs and proactively assembles the appropriate people and resources to solve problems.
+ Manages the leaders' contacts, understands their priorities, and keeps track of their communications and needs.
+ Fields incoming requests and exercises strong judgment and discretion while dealing with highly confidential information and while interacting with top-level contacts, internal stakeholders and external parties on highly sensitive information necessitating considerable use of tact, reasoning skills and diplomacy.
+ Leads and drives various team events, socials, offsite meetings, etc.
+ Works multi-functionally to ensure clear and efficient communication between various teams, i.e… AH Maternal Child division
+ Coordinates logistics for visitors.
+ Performs other related duties as assigned
Qualifications for Internal Candidates
Required:
+ Associate degree in in business, business management, health care administration or a related field.
+ Must have strong organizational skills and be able to readily shift and adapt to changing priorities and demands.
Preferred:
+ Bachelor's degree in business, business management, health care administration or a related field.
+ Experience supporting a global, in demand leader with a high volume of travel.
+ Strong knowledge of organizational management
+ Must possess relevant experience and strong knowledge scheduling
+ 7+ years of leadership support for C-Level
Required:
