A Glimpse of the Job
The Manager, Operations will have responsibility for a variety of tasks within Admin Aux and will be expected to work independently and with minimal supervision. Areas include support AVP's monitoring of all ACDA, PHPL and AUXS1 accounts, campus utilities coordination, room reservations, concessions/commissions management, maintenance and management of the Campus Security Authority list for Clery compliance and support deferred maintenance reviews.
Essential Duties/Tasks
+ Campus Utilities - Manages campus utility coordination to include setup/transfer/termination of services, maintaining the campus utility spreadsheet, appropriating payments across correct accounts, billing external users and verifying payments have been received.
+ Room reservations - Oversees all room reservations in Aggie Special Events Center and Waterfront Pavilion throughout the year and, during the summer months, adds 3rd party room reservation space of all campus spaces to oversight. Room coordination to include room scheduling, billing (internal and external groups) and verification of payments.
+ Account support - Assist Associate Vice President with monitoring of all ACDA, PHPL and AUXS1 accounts to include reconciliation and purchasing card allocations. Attend business manager meetings.
+ Concessions/Commissions - Management to include serving as primary point of contact for beverage/snack vendor, ensuring vendor payments comply with agreements, processing vendor payments (when necessary), conducting site walks of equipment and serving as primary point of contact for service.
+ Campus Security Authority - Maintain and coordinate Campus Security Authority list for Clery Act compliance. This task requires regular review and update of the list and coordination with Human Resources to ensure training is assigned and completed timely.
+ Deferred Maintenance - Handles the review and updating of the campus deferred maintenance list to include review of repair work to determine if the work needs to be removed from the list and added to the annual list of deferred maintenance, including total dollar amount to be tracked.
+ Other - Administrative duties will include billing for parking administration and supporting the Associate Vice President with account balances, scheduling appointments and handling phone calls. Serve as creator in AggieBuy. Other duties as assigned.

Required Education and Experience:
+ Bachelor's degree in applicable field or equivalent combination of education and experience.
+ Five years of related experience

+ Strong understanding of Microsoft Office products, including Excel
Knowledge, Skills, and Abilities
+ Ability to multitask and work cooperatively with others.
+ Knowledge of word processing and spreadsheet applications
