    Job Details

    The Director of Capacity Management is a strategic leader responsible for driving access improvement and operational sustainability by bridging ambulatory operations, Catholic Health Physician Partners (CHPP) Operations team, and Digital & Technology Solutions (DTS). Key responsibilities include designing provider schedules for new clinicians, managing scheduling change requests (including templates, decision trees, and online configurations), monitoring access metrics, and fostering collaboration among physicians, operational leaders, DTS, and access staff. In addition, the Director plays a critical role in emerging access initiatives by engaging early to ensure alignment, operational readiness, and long-term sustainability of new initiatives . The Director must demonstrate strong executive communication skills, supervising and coaching skills, strong attention to detail, and an ability to effectively communicate with technical, clinical, and operational stakeholders.

     

    The Director will oversee a team who will partner with operational leaders to evaluate various change requests (e.g., Decision Tree or Template changes) to confirm alignment with Catholic Health's access vision and organizational goals. For changes not approved, the Director will partner with senior level specialty leaders, administrative leaders, and clinical leaders to determine alternative approaches.

     

    Focus of Capacity Management Leader

     

    + Promotes sustainability , putting accountability structures and reporting in place for upholding changes

    + Streamlines request process for scheduling and template changes, improving request tracking and communication

    + Supports partnerships , serving as the coordination point between impacted stakeholder groups

    + Continuous access improvement by having a dedicated team who monitors performance to proactively identify opportunities for improvement

    Job Details

    Recommended Responsibilities will include:

    + Template Management : Reviews requested template and scheduling build changes and confirm alignment with system standards. Escalates requests, as necessary, and secures required approvals. Maintains template security to support streamlined and controlled change management.

    + Access Analytics Management : Monitors and analyzes access metrics to identify trends, gaps, and opportunities for improvement. Manages exception tracking and evaluates impacts to access.

    + Technical Coordination : Serves as the strategic liaison between Operations and DTS to support scheduling infrastructure and access-related initiatives. Oversees configuration of scheduling tools and online scheduling systems, such as decision trees.

    + Training Coordination : Supports onboarding and training efforts related to scheduling standards, processes, and tools, ensuring consistency and adherence across teams.

    + Service Line & Specialty Leaders Coordination : Collaborates with physicians, specialty operational leaders, and service line leadership to align access strategies with organizational goals and access standards.

    + Marketing and Access Strategy : Partners with specialty leaders, service line leaders, and marketing teams to support access growth initiatives, enhance patient scheduling experiences, and promote alignment with strategic priorities.

    + Team Leadership and Development : Leads the Capacity Management team through training, coaching, and performance reviews.

    Additional Responsibilities can include:

    + Demand Management : Collaborates and coordinates with appropriate team(s) to enhance management of demand and access by scheduling to fill capacity and remove scheduling barriers.

    + Closing the Loop: Provides follow-up to impacted clinics to support transparency and understanding of scheduling changes and functionality updates.

    + Hospital and Surgical Coordination: Partners with Hospital Leadership to establish scheduling processes and standards and improve alignment between hospital operations and clinic operations, minimizing disruptions and enhancing patient access.

    + Ongoing Optimization : As opportunities are identified, partner with operational leaders and DTS to implement sustainable solutions.

    Requirements

    + Bachelor’s degree in relevant subjects such as Business Management, Healthcare Management, User-Centered Design, Industrial Engineering, or Information Technology required, Master’s degree preferred

    + Additional Epic certification preferred

    + Seven years’ work experience, with at least 5 years relevant experience in healthcare, information technology, user-centered design, process improvement, including at least 3 years of direct people management

    + Effective planning and project management skills, including experience with financial and programmatic presentations.

    + Healthcare & Operational Knowledge

    + Broad understanding of healthcare administration practices

    + Deep knowledge of medical practice operations, scheduling workflows, and Epic/Cadence functionality.

    + Technical Proficiency

    + Proficient to expert-level skills in Microsoft Office Suite (especially Excel), Tableau, and Epic Reporting tools such as SlicerDicer.

    + Experience using Epic and Cadence for scheduling and access management.

    + Ability to design, interpret, and act on access-related data and performance metrics.

    Salary Range

     

    USD $200,000.00 - USD $225,000.00 /Yr.

     

    This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate’s qualifications, skills, competencies and experience. The salary range or rate listed does not include any bonuses/incentive, or other forms of compensation that may be applicable to this job and it does not include the value of benefits.
