OFFICE ASSISTANT
We are excited to invite a proactive and detail oriented Office Assistant to join our central office team in Manhattan, NY. As the Office Assistant, you will play a pivotal role in our organization, ensuring the smooth and professional operation of our Central Office. Under the supervision of the Central Office Manager, the Office Assistant will manage the reception desk and support the day-to-day administrative functions of the Central Office Administration team. ABOUT HOMES FOR THE HOMELESS:
Homes for the Homeless operates shelters for families experiencing homelessness in NYC. Our family residences are more than just a place to sleep. Families can make the most of their stay through accessing an array of onsite programs. Many of these programs are also available to people living in the local community. Our goal is to have a positive impact so families can thrive long after they leave our shelters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
+ Assist the Central Office Manager with opening and closing the Central Office (CO) as needed.
+ Answer CO phone calls and direct calls accordingly.
+ Check the main CO voicemail and forward messages to the appropriate staff.
+ Greet and assist office visitors.
+ Maintain and distribute the Central Office phone directory.
+ Maintain and distribute CO staff daily sign-in sheets.
+ Receive incoming mail and packages; sort and distribute them to staff or staff mailboxes.
+ Coordinate and schedule vans for CO staff site visits, and maintain updated driver contact information.
+ Create and reconcile daily reports of attendance, remote work schedules, and others as requested.
+ Assist the Office Manager with inventory, ordering, and restocking of CO supplies as requested.
+ Provide backup support to the Office Manager on all functions as needed.
+ Support the CO team with administrative duties such as filing, copying, scanning, mailing, and sorting/distributing in-kind donations.
+ Support Administration and other CO departments on various projects as requested.
QUALIFICATIONS:
+ High School diploma or equivalent.
+ Some experience supporting office administrative and/or reception duties highly preferred.
+ Intermediate skills with Microsoft Office applications, including outlook, excel, and word.
+ Ability to prioritize assignments and handle multiple tasks with strong organization and time management skills.
+ Excellent phone attendant skills.
+ Excellent communication skills.
