Are you an administrative pro who excels at providing outstanding customer service and supporting a busy Transportation Department? In this role, you’ll perform advanced clerical and administrative duties requiring independent judgment, attention to detail, and confidentiality. You’ll manage calendars, schedule appointments, and help streamline and improve routine work processes to enhance departmental efficiency.

About this Position
In this role...
+ General Office Support: Performs general office duties to ensure smooth daily operations
+ Procurement: Manages ordering and purchasing of supplies using a P-card
+ Document Management: Prepares, files, copies, and scans documents, organizing both digital and physical files
+ Event and Meeting Coordination: Assists with the coordination of events and arranges meetings with staff, developers, and other management personnel
+ Inventory Management: Supports the department by assisting with and maintaining accurate inventory records
+ Purchasing & Payment Processing: Creates and manages purchase orders (PO), change orders, and payment requests. Processes approved invoices using the Onbase system for payment
+ P-Card Administration: Acts as the dedicated P-Card purchaser for the Transportation department, ensuring compliance with procurement policies
+ Financial Reporting: Assists with the preparation and analysis of departmental budget reports
+ Vendor Management: Requests updated insurance certificates from vendors to ensure compliance and mitigate risk
Work Hours: Monday - Friday, 8:00 a.m. - 5:00 p.m.
About You
Minimum Qualifications:
+ An Associate's Degree from an accredited college or university in Business Administration or related field AND four (4) years of experience in job related field
+ -OR- Bachelor's Degree from an accredited college or university in Business Administration or related field AND two (2) years of experience in job related field
+ -OR- Six (6) years of experience in administrative experience with some executive exposure at managers discretion
+ Valid Florida Driver's License at time of hire
Preferred Qualifications:
+ Expereince or knowledge of Field and infrastructure with asset management

Starting Pay Range: $23.56 - $24.00/ hour, based on experience
