The candidate must meet the required qualifications:
+ Communicate effectively in both verbal and written formats.
+ Work collaboratively within a team and independently as needed.
+ Demonstrate strong organizational skills and attention to detail.
+ Exhibit excellent reading and listening comprehension skills to process complex procurement information accurately.
+ Manage multiple tasks simultaneously and consistently meet deadlines.
+ Provide exceptional customer service and proactively troubleshoot departmental needs.
+ Answer and manage a multi-line telephone system while maintaining professional phone etiquette.
+ Operate a personal computer using Microsoft Windows and Office applications, specifically Outlook, Excel, and Teams.
+ Work on-site in the office with mandatory attendance during scheduled hours.
+ Be available to work outside of normal business hours during peak periods when required.
+ Perform all duties in an environment illuminated by fluorescent lighting.
+ Ability to perform sedentary work with occasional lifting of up to 10 pounds, including assisting with files and event support.
Preferred Qualifications
+ Familiarity with procurement policies and procedures.
+ Experience using SAP and TSUS Marketplace or similar electronic procurement systems.
+ Up to two years of experience in customer service or related administrative roles.
Job Description
The Administrative Assistant I in Procurement at Texas State University provides essential support to departmental operations by organizing documentation, facilitating purchasing activities, managing phone coverage, and coordinating events. This is a full-time, on-site position, Monday through Friday, from 8:00 a.m. to 5:00 p.m.
Job Duties
Office Operations
+ Greet and direct visitors, ensuring compliance with campus and office protocols.
+ Answer telephone calls, respond to inquiries, transfer calls, and accurately take and deliver messages.
+ Review and distribute emails, departmental mailbox messages, and incoming mail/packages.
+ Monitor inventory levels, maintain office supplies, and coordinate internal orders.
+ Support daily operational procedures for the Procurement office to include meeting scheduling.
+ Communicate professionally with vendors/suppliers to clarify order specifics, compliance questions, and delivery matters.
Procurement Support
+ Review incoming procurement requests, verify purchase details, and ensure requisition completeness from end users.
+ Communicate clearly and effectively with campus departments and vendors to support prompt, accurate, and compliant procurement activities.
+ Prepare, review, and submit procurement requests in TSUS Marketplace.
+ Assist with Purchase Order closures.
+ Manage and organize procurement records, maintain files for acquisitions and vendor documentation.
+ Provide in-office administrative support for Procurement & Strategic Sourcing staff.
