Supports the Change Management team within the Program Management Office (PMO), including Senior Change Management Specialists, Change Management Managers, and the Manager of Change Management. This role provides coordination, analytical, and administrative support for multiple, simultaneous change initiatives. The ideal candidate is a proactive team player who is detail-oriented, data-savvy, and highly organized; serving as a key partner in driving readiness, adoption, and engagement across enterprise change efforts.
JOB RESPONSIBILITIES
+ Coordinates and maintains activities for multiple concurrent change initiatives under the direction of Change Practitioners and the Manager of Change Management.
+ Monitors project deadlines and progress, identifying potential conflicts, risks, or issues, and proactively escalating where needed.
+ Tracks and maintains activity logs, capturing project phase, key tasks, dependencies, owners, and timelines.
+ Runs queries and reports to support readiness assessments, adoption metrics, stakeholder analysis, and distribution lists. Combines and validates data from multiple sources to inform decision-making and reporting.
+ Assists in the development and refinement of project materials, including meeting decks, reports, and communication summaries. May collect and organize data or supporting materials for presentations.
+ Schedules and coordinates meetings for the Change Management team; prepares and distributes agendas, materials, and follow-up documentation.
+ Provides direct operational and organizational support to the Manager of Change Management, including tracking priorities, preparing materials, coordinating team engagement activities, and managing logistics to ensure smooth execution of initiatives and events.
+ Provides general support to change initiatives by reviewing materials for accuracy, coordinating event logistics, and assisting with related project needs.
+ Reviews project invoices for completeness, obtains approvals, and processes for payment. May assist with ordering and tracking of supplies.

MINIMUM Requirements
Education:
+ Bachelor’s degree or an equivalent combination of education and experience preferred.
Experience:
+ At least two (2) years of relevant experience supporting project or change management teams.
+ Experience running and validating data reports from multiple databases.
+ Demonstrated ability to manage multiple priorities with strong attention to detail.
+ Proven track record as a proactive, dependable team player who takes initiative and anticipates needs.
Knowledge, Skills & Abilities:
+ Ability to self-manage workload and priorities to meet expectations and deadlines
+ Strong analytical and reporting skills; proficiency in Excel, PowerPoint, and Microsoft 365 tools.
+ Excellent written and verbal communication.
+ Ability to organize, plan, and follow through on multiple tasks and deliverables.
+ Highly proactive and self-motivated with a commitment to quality and continuous improvement.
+ Collaborative and professional demeanor, with strong interpersonal skills and a service-oriented mindset.
