What we want
The Senior Administrative Coordinator I works under direction and coordinates administrative support for a unit or specialized activity, exercising discretion and independent judgment with respect to matters of significance. Supervises assigned staff and provides critical support to the Department Head, Associate Department Heads, and faculty. Manages executive administration, coordinates faculty lifecycle processes, and supports departmental operations, communications, and events.
Required Education and Experience:
+ Bachelor's degree or equivalent combination of education and experience
+ Six years of experience in office administration
Knowledge, Skills, and Abilities:
+ Ability to work cooperatively with others applications
+ Knowledge of word processing, spreadsheet, database, and presentation
+ Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative

Responsibilities:
Administrative Operations
+ Coordinates administrative support functions to department leadership, including calendar management, travel coordination, meeting preparation, and correspondence.
+ Plans and coordinates administrative activities and services.
+ Supervises assigned staff and determines work priorities.
+ Participates in the planning and execution of administrative operations.
+ Monitors project timelines and identifies issues.
+ Develops administrative objectives and strategies.
+ Formulates and implements management policies or operating practices.
+ Serves as the direct contact to staff by providing guidance on administrative activities.
+ Maintains and updates departmental website and social media in collaboration with MARCOM.
Leadership Support
+ Travels from primary work location in Bryan, Texas to San Angelo, Victoria, and other locations within Texas, as well as out of state to attend meetings and conferences.
+ Provides advanced administrative support to the leadership team while
+ maintaining confidentiality.
+ Prepares and reviews operational and special reports for leadership.
+ Coordinates travel arrangements and prepares itineraries for administrators.
+ Communicates objectives and decisions to staff on behalf of leadership.
+ Evaluates documents submitted for administrator’s signature.
+ Provides expert advice to program directors regarding administrative procedures.
Coordination
+ Plans and coordinates meetings, seminars, and other special events.
+ Plans, coordinates, and implements special projects such as retreats, inventory tracking, office renovations, and departmental events.
+ Organizes and tracks agenda items for committee meetings.
+ Coordinates travel, accommodations, lecture scheduling, meetings, and reimbursement processing for Hagler Fellows, non-GME core faculty, and departmental guests
Records Administration and Compliance
+ Track and report student teaching contact hours for PCRM faculty
+ Ensures compliance with state, local, and federal guidelines regarding records
+ management
+ Researches and communicates relevant policies and procedures regarding records
Faculty Affairs Liaison
+ Serves as the primary contact for faculty affairs, including joint/affiliate appointments, stipends, and renewals.
+ Coordinates faculty recruitment processes: position requests, postings, interviews, travel, and reimbursements.
+ Oversees faculty hiring and onboarding, including offer letters, CV entry, and coordination with Finance, HR & Faculty Affairs partners.
+ Manages annual faculty evaluations & promotions: activity reports, meeting scheduling, and record keeping.
+ Provides assistance or guidance to faculty as needed on processes, rules, or deadlines.
+ Monitors compliance with faculty affairs policies and procedures.
