             Job Title: Administrative Assistant Overview: A dynamic architectural team in Jackson, TN is seeking a highly organized and detail-oriented Administrative Assistant to support daily operations. This role is ideal for someone who thrives in a fast-paced office environment and enjoys juggling a variety of administrative tasks. Key Responsibilities: + Prepare and expedite proposals and specification documents + Coordinate printing and distribution of plans and legal advertisements + Maintain and update project postings and website content + Generate A.I.A. contracts and forms + Manage state licensing submissions and renewals + Schedule and coordinate vendor CEU classes and architectural meetings + Provide general administrative support including filing, mailing, typing, and receptionist coverage + Assist with marketing materials and special event coordination + Make travel arrangements and manage meeting registrations + Maintain office supply inventory and library resources Required Skills & Qualifications: + Minimum 3 years of experience in the AEC (Architecture, Engineering, Construction) industry + Strong proficiency in Adobe, Microsoft Office Suite, Outlook, and Excel + Excellent organizational and multitasking abilities + Professional demeanor with strong customer service skills + High school diploma required; 2-year degree preferred + Familiarity with MasterSpec and basic accounting is a plus Work Environment: This is an onsite role within a collaborative office setting. The position supports the architectural floor and requires a proactive, team-oriented approach.
