Summary:
Responsible for managing the operational aspects of the physician practice. Accountable for enforcement of the policies and procedures of the corporation. Serves in collaborate with the healthcare team to provide a model of care that ensures the delivery of quality, efficient, and cost-effective healthcare services. Integrates evidence based clinical guidelines, preventative guidelines, protocols, and other metrics that are patient-centric, promoting quality and efficiency in the delivery of healthcare. Behaves in a professional manner and consistently demonstrates and promotes the values of respect, honesty and dignity for the patient, families and all members of the healthcare team. In improving the care of the patient and families of Northern Light Health physician practices, the physician practice manager is committed to the constant pursuit of excellence and teamwork.
Responsibilities:
+ Hiring new staff.
+ Training and orientation of staff/provider
+ Conducts timely performance appraisals of all staff members
+ Ensures Providers and staff members promote an atmosphere if professionalism and accountability
+ Recognizes that all staff complaints are important, and follow up is completed.
+ Notification of wage increases to staff.
+ Assigning duties to staff (maintaining job descriptions).
+ Scheduling and assignment of staff/providers
+ Directing work of staff/providers
+ Works with, or provides data to adjust, benchmark staffing levels and models.
+ Works collaboratively with all departments to effectively manage and maintain positive employee satisfaction across all continuums of patient care.
+ Attends required meetings. When establishing meetings i.e. monthly staff meetings, will be responsible to lead by example by providing agendas, keeping meetings on focus, tracking next steps (through minutes or otherwise), and reporting issues of accountability to the practice Administrator.
+ Manages Managers Self Services in timely fashion
+ Establishes FISH FUN concept of play, be there, make their day, and choose your attitude.
+ Serves as a resource for staff and assists with Technical questions and issues.
+ Maintains as a cohesive working relationship with the CBO and HIMS
+ Serves as a resource for all Employed Physician Practices
+ Ensures all Staff members are competent in all areas of Charge entry.
+ Ensures Staff members are knowledgeable of CMS Guidelines as they apply to their area of expertise i.e. annual CPT and ICD-9 ICD-10 changes.
+ Ensures Proper Staff for the Weekend Clinic
+ Coordinates, drives and track key services projects as assigned
+ Participates in orientation or educational activities as requested
+ Develops and maintains an understanding of best practices to use in coaching our practice to success.
+ Supports in- system clinical integration to enhance the financial performance of the organization.
+ Maintains facilities and equipment including maintenance of physical plan, oversight of renovations to meet organizational needs.
+ Promotes excellent customer service. Demonstrates assertive and creative problem solving by identifying problem areas affecting customer satisfaction, including evaluation of customer satisfaction performance as measured by AVATAR data and CG CAHPS scores.
+ Improve patient access to care by identifying barriers.
+ Directs and monitors answering service function for the department.
+ Is an active member of the Provider Coding Improvement Task Force.
+ Attends quarterly Provider Coding Meeting.
+ Maintains Weekend and Night call list with Lead Primary Care Provider
+ Ensures that assigned services are meeting the patient care objectives set by the lead physician and Administrator
+ Identifies the needs of physicians and support staff and balances those needs with overall needs of the department. Ensures high quality of services through proper performance improvement activities.
+ Creates an environment that is respectful to compliance considerations, regulatory bodies such as National Committee on Quality Assurance, AOA and other governmental agencies.
+ Performs periodic review of established processes to assure staff understanding to identify opportunities for improvement and compliance.
+ Leads quality improvement efforts and develops actions plans in conjunction with the Lead Physician
+ Assures the policies and procedures dealing with the areas that the Practice manager is responsible for are updated annually and meet AOA standards.
+ Maintains requirements for Meaningful Use, Eprescribing, ACO, PCMH and Health Homes
+ Maintains compliance with RL6 standards including state regulatory requirements for internal reporting, interfacing with state inspectors by completing mandated investigations.
+ Ensures that providers and other licenses are in good standing with state agencies and medical staff office regarding licensed and credentialed staff licensure, DEA, plans of supervision for mid-levels.
+ Maintains oversight of HIPAA standards, including breach investigations, reporting and discipline if indicated.
+ 100% compliance of Healthstream, CEO forums and any other in-services, meetings and training as assigned.
+ Maintains a comprehensive Knowledge of medical insurance plans
+ Educates staff on medical insurance guidelines
+ Develops and maintains a charge entry Dashboard for Quality Improvement.
+ Assists with formulating the budget.
+ Monitors provider WRVU/productivity daily, weekly, monthly, quarterly and annual to ensure budgets targets are met. Shares practice financials and other indicators with providers and staff.
+ Monitors daily practice provider schedules
+ Monitors provider billing/coding.
+ Monitors Provider chart note completions
+ Assists with fiscal analysis and resource utilization for program development initiatives.
+ Ensures the approval process for supplies and equipment used in the operations of the department.
+ Ensures accurate demographic patient information.
+ Ensures optimal utilization of facilities and space.
+ Ensures that all staff members complete charge entry
+ Works with providers/ practice manager to ensure timely completion of all notes
+ Reviews the visit documentation and the charge ticket to ensure all healthcare charges are captured
+ Applies payments captured in the practice to applicable charges
+ Ensures appropriate insurance is captured allowing clean claim submission.
+ Ensures that all billing information is forwarded to the CBO for entry
+ Develops and/or coordinates continuing education programs for staff under his/her supervision.
+ Ensures attendance of staff at all mandatory training sessions.
+ Attends conferences to increase practice management education.
+ Reviews provider panels to ensure current patient panel standard is met.
+ Develops and or coordinates continuing education
+ Works with MCHO to enroll uninsured/under insured patients
+ Encourages participation of staff in community/volunteer related events.
+ Actively encourages non-insured patient to contact MCHO. and visitors, reporting and addressing patient and environmental safety concerns.
