    Responsibilities:

    Provides operational support for faculty development in the Provost’s Office of Faculty Affairs. Responsible for the operation of faculty onboarding programs, faculty professional development initiatives, and faculty engagement events, and contributes to the design of such programs. Manages faculty affairs budgets, calendars, and contributes to marketing of programs to faculty and communications about faculty development within and outside the institution. Collaborates with faculty, staff, and leadership to ensure smooth execution of programs and alignment with university goals.

    ESSENTIAL FUNCTIONS

    Professional and Leadership Development Engagement & Events

    + Develops and maintains a comprehensive annual calendar of faculty development and engagement events and assists schools or programs outside our office in opening their faculty development offerings to faculty across the institution, as appropriate.

    + Co-plans with the Faculty Affairs team faculty professional and leadership development and community-building events, including, but not limited to UR Year One, the Conversations on Academic Leadership, the Phelps Colloquium, informal faculty networking events and topical workshops, and others as developed by the AVPFD. Responsible for professional and leadership development event management.

    Faculty Hiring and Orientation

    + Assists Faculty Affairs team with delivering and administering current best practice training for faculty search committees across the Academic Center. Develops or modifies training as directed.

    + Supports faculty onboarding processes as needed.

    + Organizes and plans new faculty orientation events, coordinating with relevant partners as required.

    + Develops and leads faculty orientation events, including developing participant list(s), drafting and sending invitations, agendas, and remarks.

    + Participates in the interview process for full-time faculty positions in the Academic Center. Acts as a resource for candidates and directs their questions as appropriate to the appropriate institutional center of excellence (e.g. Office of Total Rewards).

    Faculty Professional & Leadership Development

    + Supports university-wide faculty internal award nominations. Solicits nominations on behalf of the Provost Office, assembles materials for evaluations, prompts Vice Provost of Faculty Affairs and Provost for evaluation and decisions. Documents award details and recipients.

    + Develops and administers professional development resources for faculty, based on best practices and current literature on faculty success.

    + Tracks faculty engagement and satisfaction with development activities; recommends changes.

    + Maintains records of faculty participation in development activities.

    + Stays informed about trends and best practices in faculty development and higher education to inform future development.

    Collaboration, Communication & Reporting

    + In collaboration with University Marketing and Communications and the Provost’s Office communications team, assists in content development for the web, marketing materials, newsletters, social media and other domains for the Office of Faculty Affairs.

    + Helps to publicize, organize and implement external assessments of job satisfaction and climate for faculty.

    + Partners with the Office for Data Insights and Reporting to review, analyze, assess, and identify patterns with faculty exit interviews. Shares information with key stakeholders to inform their decision-making.

    + Meets with Faculty Affairs team members or other stakeholders to gather information and draft the office’s external facing reports, including an annual report. Provides input as requested.

    + Participates in university-wide and local committees and working groups related to faculty development initiatives.

    Resource Management

    + Reviews, justifies, oversees, and maintains the faculty development budget, ensuring sound fiscal stewardship and strategic resource allocation. Justifies ledgers and monitors budgets for the faculty affairs leaders. Manages compliance with all audits and other internal controls. Makes recommendations for adjustments or resolutions within supported ledgers.

    + Oversees purchases and vendor management for faculty affairs, excluding enterprise software and other centrally managed purchasing. Contacts vendors for quotes, writes requisitions, and partners with Purchasing team as appropriate.

    + Supports calendaring for faculty affairs leadership as required.

    + Provides administrative support, including scheduling, approving timecards, and approving expenses for the Office of Faculty Affairs.

    MINIMUM EDUCATION & EXPERIENCE

    + Associate's degree and 3 years of progressively responsible experience in administrative support required

    + Or equivalent combination of education and experience

    KNOWLEDGE, SKILLS AND ABILITIES

    + Ability to prioritize effectively and efficiently;

    + Ability to manage multiple competing priorities in a timely manner;

    + Ability to complete tasks on time with a high degree of accuracy;

    + Knowledge of complex faculty onboarding and development practices (preferred);

    + Knowledge of faculty hiring, onboarding and development process (preferred).

    + Knowledge of the current higher education landscape for faculty progression.

    + Demonstrated understanding of best practices in the faculty space.

    + Outstanding communication and interpersonal skills for audiences of faculty, staff and leaders.

    + Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools (Zoom, Box), Adobe, etc.

    + Knowledge of: Office procedures, database entry principles, customer service and public relations principles, principles of math, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, event planning

    + Intermediate knowledge of hardware and software functionality
