Overview
The Alchemy Operations team manages client-specific operational tasks across virtually every practice area within the agency, including Strategy, Investment, HR, Finance, Invoice Reconciliation, and Agency Administration & Compliance. We centralize and standardize fundamental work required across all pieces of business as well as bring tactical and detail-oriented work streams together to find smarter, faster ways of working. Responsibilities
**Macro Tasks** :
+ Project management
+ Process improvements
+ Best practice development, sharing, and enforcement
+ Quality assurance
+ Reporting & Compliance
+ System Expert
+ Manage and Lead Operations team
+ Serve as point of escalations across tasks such as vendor reconciliation, internal process rollouts, and more
+ Strong sense of urgency to identify problems before they become larger issue
**Daily Tasks** :
+ Work together with VP and EVP on team roles and responsibilities, and prioritizing key projects across the team
+ Connect with Strategy and Investment peers on account-specific requests
+ Manage multiple deadlines/deliverables effectively
+ Oversee and manage agency tools and systems:
+ Maintain system hierarchies, structure, and user security
+ Facilitate training for team members when needed
+ Create/enforce workflows & processes
+ Support Data Governance and PM compliances
+ Trouble-shoot any issues/questions that arise
+ Ensure compliance with tasks such as:
+ Managing client-specific billing procedures, internal billing QAs, and budget tracking across teams.
+ Product codes and other systems work
+ Responsible for managing communications with clients and internal teams on financial delivery deadlines and QA
+ Work closely with offshore teams on billing reconciliation status and troubleshoot as needed
+ Creative Asset Management
+ Participate in and/or lead internal team meetings
+ Ensure teamwide communications on process updates/changes as they arise
+ Review and QA monthly master creative assets tracker
+ Responsible for reviewing and QA’ing data across planning and buying systems
+ Serve as day-to-day Ops POC for internal teams

**What we seek in an Associate Director** :
+ 4+ years experience in planning, operations, finance, project management or data analysis, preferably in a media agency or advertising agency
+ Bachelor’s Degree, preferably with a concentration in Accounting, Finance, Economics, Business, Advertising, Marketing, Communications, Applied Mathematics or related
+ Proficiency in making progress/completing work, even with overlapping deadlines
+ An individual who equally cares about his/her own career as well as his/her direct reports
+ The ability to rock the Microsoft Office suite, particularly PPT and XLS (where filtering, pivoting, charts and graphs building are key)
+ Quantitative and analytical skills, yet willingness to embrace a role that requires a mix of art and science.
+ Experience developing and presenting your thoughts and ideas.
+ Flexible and able to adapt to change in a fast-paced and constantly changing environment
+ Brave voices who will suggest new ideas and challenge the status quo but can also help carry out the smart ideas of others.
+ Someone who likes to thrive on a team yet can also meet tight deadlines on independent assignments.

Compensation Range: $100,000- $127,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
