POSITION SUMMARY: The HR Operations Specialist is a key contributor to the HR function, ensuring operational excellence, compliance, and consistent execution of HR programs. This role manages mandatory education programs, with guidance from the Learning Management System (LMS) Administrator, policy updates, and job description maintenance to ensure licensure requirements are accurate and up to date, while also supporting training initiatives and employee development activities. The HR Operations Specialist helps ensure HR programs and policies are completed accurately, efficiently, and in compliance with organizational and regulatory standards. EDUCATION/CERTIFICATION: + Bachelor’s degree in Human Resources, Business Administration, or related field. EXPERIENCE: + Three (3) to five (5) years of experience in HR operations, compliance, or related HR function. + Strong knowledge of HR policies, procedures, and compliance requirements. + Experience managing mandatory education, licensure, or credentialing programs preferred. + Experience preparing educational materials or supporting training programs preferred. + Excellent organizational skills and attention to detail. + Strong communication and interpersonal skills. + Ability to manage multiple priorities and projects simultaneously. + Proficiency with HRIS systems and Microsoft Office Suite. These responsibilities and competencies listed below may change from time to time. + Provide administrative support for HR operations, including data entry, document updates, and maintenance of employee records. + Executes tasks and initiatives as directed by the Learning Management System (LMS) Administrator to support the development, maintenance, and coordination of mandatory education programs, ensuring timely completion, tracking, and reporting. + Oversees tracking, reporting, and adherence to required educational and training assignments as directed, ensuring timely completion and compliance. + Provides support to the Learning Management System (LMS) Administrator in the creation and delivery of employee and manager educational materials and programs, including training resources and compliance education. + Maintains and organizes job descriptions, ensuring the latest versions are stored and accessible. + Collaborates with department leaders to ensure accurate license and certifications are up to date and reflected in current job descriptions to comply with regulatory requirements. + Prepares, updates and distributes HR policies and communications to employees and managers to align with organizational changes and guidelines. + Support the HR Operations Manager with projects related to compliance, audits, and accreditation preparation. + Updates and maintains HR operations databases, spreadsheets, and tracking tools. + Coordinate and implement training logistics and HR-related communications. + Provide general support for process improvement initiatives within the HR department. + Respond to basic inquiries from employees and managers, referring more complex issues to appropriate HR team members.
