             Administrative Coordinator Job Description We are seeking a dedicated Administrative Coordinator to handle accounts receivable and payable transactions. The successful candidate will manage invoices, payments, and reconciliations while maintaining accurate financial records and ensuring timely processing. This role requires effective monitoring and follow-up on outstanding invoices and overdue accounts, as well as assisting in the preparation of financial reports. Collaboration with internal departments to resolve discrepancies is crucial, alongside ensuring compliance with company policies and relevant accounting regulations. Responsibilities + Process and manage accounts receivable and payable transactions, including invoices, payments, and reconciliations. + Maintain accurate records of all financial transactions and ensure timely processing of payments. + Monitor and follow up on outstanding invoices and overdue accounts. + Collect and process approximately 100 - 200 invoices per month. + Assist in the preparation of financial reports. + Collaborate with internal departments to resolve discrepancies related to accounts receivable. + Prepare and submit periodic financial reports. + Ensure compliance with company policies and relevant accounting regulations. + Type and process reports as needed. + Demonstrate flexibility in moving between accounting and clerical roles. Essential Skills + Accounts receivable + Data entry + Invoice entry + Accounting + Administrative support + Microsoft Excel + Billing software + Billing systems + Accounts Payable + Customer service + Proficiency in Microsoft Office Additional Skills & Qualifications + High School Diploma + Minimum of 2+ years of experience in administrative or accounting support roles + Proficiency in accounting software such as QuickBooks or SAP Work Environment This position is on-site, full-time, from Monday to Friday, 8 AM - 5 PM. The work environment is within an older building associated with a construction company, which may have some dirt throughout the premises. Each employee has their own desk and computer, and the dress code is business casual. The company is transitioning from paper-based processes to a more digital approach. Job Type & Location This is a Contract to Hire position based out of Ferndale, Michigan. Pay and Benefits The pay range for this position is $22.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
