    Job Title: Trade Events SpecialistJob Description

     

    The Trade Events Specialist plays a pivotal role in driving objectives at industry events, including conferences and trade shows. This role involves executing strategies for lower tier On and Off premise trade shows, managing services, shipments, and budget reconciliation. Additionally, the specialist will support the TED Portable Program and collaborate with Trade Events Managers to maintain premium event properties.

    Responsibilities

    + Follow the strategy set by the Trade Event Department for executing trade events.

    + Collaborate with internal stakeholders, Trade Marketing, and organizers to implement strategies and events.

    + Communicate changes to timeline and scope with all departments and stakeholders.

    + Remove communication barriers to ensure smooth project progression.

    + Join relevant trade events groups, networks, and communities.

    + Support the creation and updating of event execution guides for both on and off premise.

    + Assist in booth staff training, including TED Talks and Trade Events How to Guide development.

    + Connect brand assets to industry partners to enhance brand credibility and awareness.

    + Support optimization of Asana for project management.

    + Research and present concepts for Tier 3 shows to key stakeholders.

    + Prepare, present, and manage budgets, including post-show budget reconciliation.

    + Support the development and inventory management of the portable kit program.

    + Plan booth layouts and liaise with vendors for booth setup.

    + Maintain trade show and event checklists to ensure deadlines are met from pre-production to post-production.

    + Update infrastructure weight and dimensions documentation.

    + Coordinate logistical requirements for asset delivery and vendor hiring.

    + Work cross-functionally with the brand team to ensure adherence to brand guidelines.

    + Ensure premium trade show execution at key industry events.

    + Build and manage a SketchUp library.

    + Provide on-site support when shows overlap.

    Essential Skills

    + Event coordination and trade show experience.

    + Project management expertise.

    + Proficiency in Microsoft Excel and PowerPoint.

    + Budget tracking and expense reconciliation skills.

    Additional Skills & Qualifications

    + 2+ years of experience in trade shows, events, and hospitality event management.

    + Knowledge of the consumer package goods industry.

    + Strong planning, prioritization, and project management skills.

    + Ability to multitask and thrive in a fast-paced environment.

    + Strong interpersonal and communication skills.

    + Creative thinking and experience with agencies or production suppliers.

    + Flexibility to adapt to changing deadlines.

     

    Work Environment

     

    This position operates on a hybrid schedule from 9 AM to 5 PM, Monday through Friday, based in Santa Monica, CA.

     

    Job Type & Location

     

    This is a Contract position based out of Santa Monica, California.

    Pay and Benefits

    The pay range for this position is $30.00 - $40.00/hr.
