    A Brief Overview

     

    Serve as the primary point of contact for the President / CEO and COO, often responsible for acting on their behalf, with key stakeholders and partners, including the Board, staff, donors, and partners. Complete a broad variety of administrative tasks that facilitate the President & CEO's ability to effectively lead the organization including: assisting with special projects, designing and producing complex documents, reports and presentations, collecting information for meetings, scheduling and maintaining calendars, coordinating travel arrangements, organizing and coordinating meetings, preparation of agendas and assisting with presentations.

    Essential Functions

    Serve as the primary point of contact for the President / CEO and COO, often responsible for acting on their behalf, with key stakeholders and partners, including the Board, staff, donors, and partners.

     

    + Complete a broad variety of administrative tasks that facilitate the President & CEO’s ability to effectively lead the organization, including: assisting with special projects, designing and producing complex documents, reports and presentations, collecting information for meetings, scheduling and maintaining calendars, coordinating travel arrangements, organizing and coordinating meetings, preparation of agendas and assisting with presentations.

    + Answer questions from all levels of the organizations with precision, accuracy and with a sense of urgency.

    + Advise and provide input and guidance to the strategic use of the executive’s time.

    + Relieves the executive of administrative functions in order to increase the time an executive is available for executive level responsibilities.

    + Provide guidance to leaders on important initiatives and projects, coordinating resources as needed to ensure completion.

    + Communicate and cooperate with all levels of employees and external contacts in a way that represents the company in a positive and professional manner.

    + Prioritize conflicting needs; handles matters quickly, proactively and follows through on projects to successful completion, often with deadline pressures.

    + Work with executives to ensure meetings are well-planned and effective. Organize the distribution of information to ensure activation on key initiatives.

     

    Operational/Financial Management ◦ Responsible for the implementation and execution of business plans or activities for the department. May assist in the development of business plans.

     

    + Makes decisions guided by the business plan and resource availability that impacts service levels and the team’s ability to meet objectives.

    + Analyzes processes and procedures and makes recommendations and/or decisions on guidelines for daily processes/activities within department. May recommend policy changes related to the department. Implements new or revised policies, processes, and procedures within the work area.

    + Develops the annual budget, monitors and prepares budget variance reports for the department.

    + Applies business and management expertise to identify problems/opportunities, determine solutions, and measure results.

    + Ensures compliance with quality assurance, safety practices, policies, regulatory, and legal requirements.

    Education Qualifications

    + High school diploma or GED equivalent Required and

    + Associate's Degree from an accredited college or university in journalism, business, administrative assistant or related field Preferred

    Experience Qualifications

    + Minimum seven years’ experience as an administrative assistant, business, office manager, or related field Required

    Skills and Abilities

    + Ability to deal professionally and effectively with employees at all levels in the organization, Board members and the public at a level normally obtained through completion of high school. Ability to use the computer and other modern technology found in the hospital environment.

    + Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms

    + Very strong interpersonal skills and the ability to build relationships with key stakeholders

    + Strong organizational skills and the ability to manage multiple tasks and projects simultaneously such as meetings, coordinating events, maintaining projects, etc.

    + Ability to be confident in decision making and problem solving.

    + Ability to understand and work in a dynamic environment.

    + Strong detail orientation.

    + Ability to draft, proofread, and edit documents and written communications

    + Strong written and oral communication skills.

    + Maintain a strong professional demeanor as well as enthusiasm in representing Children’s goals and objectives.

    + Manage and maintain confidential information at all times.

    + Multi-task oriented and prioritizes work, voluntarily extends hours, and/or solicits additional resources when necessary to ensure timely completion of tasks.
