    The Meadowbrook School of Weston, a junior kindergarten through 8th grade school located seven miles west of Boston, is seeking an Associate Director of Auxiliary Programs to join our community. This is a full-time, year-round, exempt  position reporting to the Director of Auxiliary Programs. The salary range  is $75,000 - $85,000 per year.

     

    The Associate Director of Auxiliary Programs will work closely with the Director of Auxiliary Programs  in support of all Auxiliary Programs, with specific focus on our summer camp,  Branches at Meadowbrook, as well as rentals, and transportation.

     

    As an integral member of the Auxiliary Programs Department, the Associate Director of Auxiliary Programs will join Meadowbrook during a time of program innovation. This role will provide the right person a unique and exciting opportunity to help shape and develop new Branches programming that reflects the mission of the School while also meeting ambitious revenue goals. Collaborating with the Director of Auxiliary Programs, as well as other members of the Auxiliary Programs team, this person will be part of a robust creative process to develop the program(s) they will then oversee.

    Essential Functions and Key Objectives:

    Strategic Program Development and Innovation

     

    Build vibrant programs that achieve desired admissions goals, annual and long-term net revenue targets, and support the school’s mission and program.

     

    + Engage in ideation, brainstorming, and collaborative generation of ideas that leverage the intellectual and physical assets of the school

    + Collaborate with school leadership, administration, and faculty to ensure all Branches  programs align with the school’s mission and educational philosophy

    + Seek to identify partnerships that may enhance program potential

     

    Marketing and Communications

     

    Effectively promote the programs so as to achieve the enrollment and revenue targets.

     

    + Ensure that Branches  has  an effective and accurate online presence including website and social media platforms

    + Plan and coordinate the publishing and advertising of program offerings and schedules

    + Manage all public relations and marketing initiatives including open houses, mailers, brochures, camp fairs, and ad placement to promote and communicate the programs to prospective and enrolled participants

     

    Business and Finance

     

    Ensure that  Branches financial performance meets or exceeds budgeted expectations.

     

    + Collaborate with Director of Auxiliary Programs and school administration  to prepare annual budget covering all aspects of program expenses and revenues to ensure profitability

    + Monitor revenues and expenses in accordance with budgetary restrictions for bottom line performance across all programs

    + Ensure that rentals and transportation programs’ financial performance meets or exceeds budgeted expectations.

    + Work with Auxiliary Coordinator to evaluate and recommend service providers for school based transportation and external transportation partners

     

    Program Management

     

    Ensure program participants have a safe and positive experience such that they return and/or recommend our programs to others.

     

    + Serve as the Camp Director for Branches at Meadowbrook, being present and responsible for the 10-week summer program. In addition, manage and supervise any non-summer Branches programming, such as Branches vacation programming.

    + Oversee the operations  for Branches, which includes academic, athletic, extracurricular, and other activities that support Meadowbrook’s mission

    + Provide an appropriately safe, caring, and enriching environment for all participants

    + Serve as a secondary point of contact for parents, responding to questions or concerns that have been elevated by program staff.

    + Communicate clearly, promptly, and professionally with parents to ensure transparency and trust.

    + Maintain positive, supportive relationships with families to foster a strong sense of community and confidence in the camp experience.

    + Establish routines, provide positive guidance, and enforce policies and procedures, including disciplinary policies, in accordance with Meadowbrook’s stated values

    + Provide ongoing supervision and support of all faculty and Branches staff.

    + Develop and oversee all safety and health protocols in coordination with school risk management plan

    + On-going operational oversight of the rentals and transportation programs throughout the calendar year

     

    Administration and Operations

     

    Ensure that the administration of the programs is efficient and effective.

     

    + Coordinate and organize registration for Branches (i.e. rosters, processing of forms and confirmation letters, parent communication, etc.)

    + Ensure that Branches and auxiliary programs are in compliance with all applicable regulations of licensing and governing entities

    + Collaborate with frontline Branches  employees to ensure consistent messaging and effective resolution of parent concerns.

     

    Human Resources

     

    Hire and manage to build a stable, effective, and customer-focused Branches  team.

     

    + Directly supervise the Auxiliary Coordinator position within the department providing leadership and oversight to rentals, transportation and social media marketing.

    + Recruit, hire, and train all Branches  employees

    + Ensure that all necessary and required employment forms, including payroll information and background checks, are completed and on file

    + Collaborate to design and implement seasonal staff training and orientation programs

    Other Duties

    + Maintain a commitment to student and employee diversity, equity and inclusion

    + Perform other duties as assigned by the Director of Auxiliary Programs or School leadership

    Qualifications:

    + Previous leadership experience in a summer camp or auxiliary/enrichment program setting preferred

    + Demonstrated working knowledge of American Camp Association (ACA) standards and best practices in camp management, safety, and operation

    + Experience with staff hiring, training, and supervision

    + Financial acumen with experience preparing and monitoring budgets

    + Excellent speaking and writing skills; comfort with family communication on a large-scale or individual level

    + Strong organizational skills (digital and physical assets)

    + Proficiency with technology as a means of supporting communication, innovation, and efficiency: online communication (email, chat, Zoom), social media account management, enrollment database management, project management platforms, Google sites, etc.

    + Sense of wonder and a playful spirit

    + Recognition of the value of a meaningful summer experience in a child’s life
