The Team You’ll Work With The Mayor’s Office Administrative Services Department is responsible for creating a dynamic workplace that assists with all aspects of employee development. The team works as a strategic partner to provide workforce and organizational capabilities that support the overall functionality of the agency. The Problems You’ll Solve Reporting to the Chief & Deputy (CHRO) Chief Administrative Officers, the Associate Director of Strategic Projects will execute administrative projects, tasks, and procedures. Working across the administrative services landscape, the Associate Director will work to organize the various components needed to initiate, run, and conclude projects undertaken by the Administrative Services Unit to improve processes and efficiencies. This individual will largely work at the direction of the Deputy Chief (CHRO) to help support the day-to-day administrative needs and projects. Job responsibilities include, but are not limited to: - Process Improvement: o Develop and promote strategies to ensure effectiveness and efficiency. o Targeting problem areas agency-wide to identify opportunities for improvement. This entails working with IT to develop and analyze data used by Administrative Services leadership and staff to improve various processes. - Reporting & Analysis: o Acting as the point person and/or project manager as it relates to reporting on, collecting, and/or analyzing data and information for various requests. o Recurring and non-recurring reports, etc., as they relate to all of the Administrative Services unit. - Participating in the development and implementation of strategies to improve performance in human resources, fiscal operations, payroll and timekeeping, facilities, and IT. - Prepare reports and presentations with accuracy and professionalism. - Conduct process and policy reviews to ensure policies are up to date, effective, and efficient, and make recommendations for process improvements. - Executive Support: o Preparation of training and presentation materials, monitoring registrations, sending invitations, and assisting with formal presentations. o Anticipate executive needs proactively; Organize and prioritize incoming requests. o Manage CHRO and CAO calendars. o Manage special projects assigned by the CHRO and CAO. o Other administrative duties as assigned. - Personnel Management o Management of the background check process for standard employees. o Management of the DOI process. o Serve as CCCHR-OATH liaison. o Manage employment verification requests. - Communication: o Assist with the Administrative Services agency-wide communication and newsletters. o Managing mailboxes as assigned, responding to and routing messages where appropriate. About You - You have excellent time-management, multi-tasking, organizational, communication, research, analytical, writing, proofreading, and interpersonal skills. - You have the ability to take initiative, prioritize duties, work independently and within a team environment, pay close attention to detail, meet deadlines, do appropriate follow-up, work well under pressure, and maintain an enthusiastic work ethic. This includes maintaining a positive and helpful attitude, while also understanding his/her own contribution to the team. - You have strong follow-through for problem resolution without reminders from others. This includes the ability to communicate those results to interested parties and is attentive to details. Minimum Required Qualifications - Bachelor’s degree and a minimum of 7 years of experience in Government, Public Administration, Public Policy or Business Administration or related field; or a Master’s Degree in a related field with a minimum of 5 years of experience in a related field. STRATEGIC INITIATIVE SPECIALIS - 50943 Qualifications A Baccalaureate degree from an accredited college or university and three years satisfactory full-time experience related to the projects and policies to be studied in the particular position.
