Job Title: Lease Administrator
Department: Real Estate
FLSA: Exempt
General Function
Reviews common area maintenance, real estate tax and other property invoices, responsible for billing tenants and other properties as allowed, works with retail stores, internal Hy-Vee departments, landlords and/or developers as needed on property maintenance and issues.

Accountable and Reports to: Executive Vice President, Chief Growth Officer
Positions that Report to you: None
Primary Duties and Responsibilities:
+ Reviews, audits and approves common area maintenance reconciliations and coordinates approval with store management.
+ Works to resolve any discrepancies with the landlord or property manager.
+ Answers store management questions and advises on landlord discussions.
+ Works as a mediator with any landlord/property manager and store director issues.
+ Researches lease language stipulating common area maintenance responsibilities with the ability to interpret tenant and landlord responsibilities.
+ Resolves any issues.
+ Reviews, audits and approves real estate tax invoices and coordinates approval.
+ Works to resolve any discrepancies with the landlord or property manager.
+ Confirms tax parcel information, abatements or changes in tax statements.
+ Oversees management of excess property including bidding and contracts for snow removal, mowing or other maintenance services.
+ Gives direction to maintenance personnel.
+ Responsible for billing tenants, subtenants, adjacent owners for common area maintenance, real estate taxes, storm water management and other applicable costs.
+ On call to handle and follow up on emergency situations.
+ Works as a team with other real estate employees.
+ Reports to work when scheduled and work expected number of hours.

Education and Experience
Four years of college or a business degree is preferred, but not required; 3-5 years of work in real estate, property management or the accounting field.
Physical Requirements
+ Visual requirements include: ability to see detail at near range with or without correction, normal depth perceptions.
+ Must be physically able to perform medium work: occasionally lifting or carrying objects of no more than 50 pounds, and frequent standing and walking.
+ Must be able to perform the following physical activities: stooping, kneeling, reaching, handling, grasping, talking, hearing, and repetitive motions.
Working Conditions
This position frequently involves a fast work pace in an office setting. Must be detail oriented and able to handle multiple jobs/situations every day. Occasional travel to stores and other managed properties may be required.
Equipment Used to Perform Job
PC with Windows programs including the following software: Access, Word, Excel, Outlook, etc.; FAX, telephone and copier
Financial Responsibility
Verifies and follows up on rental payments received and sent. Determines accuracy and authorizes payment of taxes. Responsible for the authorization and obligation of common area maintenance. Authorized to approve $1,000 in store and excess property maintenance and repairs; and $100,000+ in taxes
Contacts
Has daily contact with Hy-Vee real estate and operations. Has frequent contact with the public and store level staff.
Confidentiality
Has access to confidential information including potential real estate sites, leases, lease options, lease payments, taxes, and construction projects.
