    Description We are looking for a skilled and organized Senior Administrative Assistant to provide comprehensive support to our management team in Lutz, Florida. In this Contract-to-ongoing position, you will play a critical role in ensuring the smooth operation of our daily activities, collaborating closely with senior staff, and managing administrative processes. This is an excellent opportunity for someone who thrives in a fast-paced environment and is passionate about optimizing organizational efficiency.

    Responsibilities:

    • Provide high-level administrative support to senior staff and managers, ensuring seamless daily operations.

    • Oversee and mentor a team of administrative assistants to maintain productivity and effective communication.

    • Manage and update project trackers, ensuring tasks and deadlines are met efficiently.

    • Coordinate and assist with planning company events, meetings, and projects, including setting agendas and tracking action items.

    • Prepare, proofread, and edit documents such as proposals, reports, contracts, and presentations.

    • Organize and maintain accurate records and documentation for easy retrieval and reference.

    • Schedule and manage calendars, book travel arrangements, and coordinate conference calls.

    • Participate in regular planning meetings, including a one-hour meeting on Saturdays, and commit to a 40-50 hour workweek.

    • Identify and propose improvements to administrative processes to enhance overall efficiency. Requirements • At least 4 years of experience in an administrative support role, with prior experience in a senior-level position preferred.

    • Advanced proficiency in Microsoft 365 tools, particularly SharePoint, Excel, and PowerPoint.

    • Strong organizational skills and the ability to handle multiple priorities while meeting deadlines.

    • Experience managing calendars, booking travel arrangements, and coordinating conference calls.

    • Ability to handle confidential information with a high level of discretion and professionalism.

    • Proven ability to work effectively in fast-paced, high-pressure environments and adapt to changing priorities.
