    The Donor Database & Development Associate is a key member of the Development Team, responsible for managing donor data and providing administrative support for campaigns, appeals, and events. This role ensures accurate data entry, reporting, and donor communications while supporting the Development Director and team operations.

    Responsibilities:

    Administrative Support

     

    + Prepare donor acknowledgements and specialized correspondence for appeals, in-kind donations, and major gifts.

    + Support Development Director with scheduling, correspondence, and campaign planning.

    + Assist with special events and maintain inventory of campaign materials and supplies.

    + Process purchase orders, invoices, and expenses for the Development Office.

    + Collaborate with Marketing and Public Relations Coordinator on appeal letters and timelines.

    + Prepare briefing materials for leadership using internal and external sources.

     

    General Expectations

     

    + Maintain confidentiality and security of donor and agency information.

    + Attend required trainings, meetings, and events, some of which may occur outside regular hours.

    + Promote collaborative relationships within and outside the agency.

    + Comply with Unity House’s Corporate Compliance Program and uphold ethical standards.

     

    Database Management

     

    + Maintain and update donor database (Raiser’s Edge)

    + Enter and reconcile all gift and prospect data; coordinate with Finance Office on donations and pledges.

    + Generate development reports and metrics; prepare donor data for newsletters, annual reports, and the website.

    + Support prospect research and moves management by recording activities, interests, and event participation.

    + Maintain electronic constituent files and update biographical/employment information.

    + Compile mail lists for appeals and coordinate with mailing houses and printers as needed.

    + Assist in documenting database procedures and refining systems for accuracy and efficiency.

    Qualifications

    High School diploma or equivalent, minimum 3 years working with relational donor databases preferred. New York State driver License required. Strong organizational and communication skills. Must be detailed orientated and professional. Ability to maintain and manage multiple projects and deadlines. Team-oriented with the ability to work independently
