SUMMARY SUNY Brockport is accepting applications for an Administrative Assistant 2 for the Interim Dean for the College of Arts and Sciences. This person would report directly to the Interim Dean providing administrative duties that would assist them with the successful administration of 22 academic departments plus Military Science. In addition, this person would assist the Interim Associate Dean and Assistant Dean as needed. Incumbent’s responsibilities include but are not limited to serving as confidential administrative assistant in the Dean’s Office, establishing office procedures geared toward an efficient workflow, resolving daily operational problems that may occur within College’s programs, triaging phone calls, project management, and acting as the Interim Dean’s liaison among Brockport faculty, professional staff, and community constituents. JOB FUNCTIONS Administrative – + Responsible for daily office operations including mail and email correspondence, answering phone calls and being the first point of contact in the Dean’s Office + Maintains the Interim Dean’s calendar, scheduling meetings as requested with attention to detail + Monitors and tracks the status of the Interim Dean’s activities, projects, and initiatives + Schedules meetings – reserves spaces, attends and takes minutes at the annual Chairs and Directors retreat, monthly Chairs and Directors meetings, quarterly Dean’s Advisory Board Meetings, and other meetings as needed + Designs and maintains an electronic filing system + Creates and processes personnel paperwork + Reviews all reimbursement and payment paperwork that comes to the Dean’s Office for Interim Dean + Makes travel arrangements for the Interim Dean and guests of the College (guest speakers, search candidates, etc.) + Assists with position searches for Faculty and Administrative Assistants within the College of Arts and Sciences + Develops and implements office policies and procedures, identifying areas of improvement + Orients faculty and staff to office and agency procedures Budgeting and Purchasing – + Monitors multiple budgets, preparing and updating spreadsheets (Dean’s Office state accounts, Recruitment, BASC, Foundation, Research Foundation, etc.) + Account Manager and Signatory for all accounts within the College of Arts and Sciences + Purchases using a credit card or the online purchase requisition system, EagleMart + Assists departments with budgeting and purchasing questions Event Support – + Reserves spaces, orders catering, assists with publicity, and handles all logistics as needed at the event + Backup for contact for reserving conference rooms located in the Fannie Barrier Williams Liberal Arts Building REQUIREMENTS Minimum Qualifications: Candidates must have permanent appointment in an Administrative Assistant 2 New York State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Administrative Assistant 2, Full Time - Brockport location. Preferred Qualifications: + Excellent communication and interpersonal skills. + Excellent organizational skills, ability to prioritize work. + Proficient in Microsoft Office and software such as Banner, NEOED, Business Intelligence, EagleMart + Ability to use or learn to use College online resources + 1-year experience in an administrative assistant position at SUNY Brockport + Associate’s degree or equivalent experience ADDITIONAL INFORMATION Work Schedule: 40 hours/week: Monday - Friday 8:00am - 4:00pm Benefits: Benefits eligible.
