Job Title: Administrative Support Specialist - Training Unit
Duration: 6 Month contract - W2 Only
Pay rate: $27-32/hr (depending on experience)
Type: Full-Time, 9am-5pm, Mon-Fri
About the Role:
We are seeking a detail-oriented and organizedAdministrative Support Specialistto assist our Training Unit. This role provides essential administrative support, manages training records, and ensures smooth communication across departments.
Key Responsibilities
+ Utilize various IT applications including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
+ Draft, format, and distribute correspondence and reports
+ Maintain paper and electronic filing systems, spreadsheets, and databases (SLMS, DFS Designations, Fed Provider)
+ Create and manage SLMS courses and classes; track attendance and certificates
+ Answer phone calls, transfer messages, and greet visitors; manage visitor entries in building security system
+ Operate office equipment (printers, scanners, copiers) and coordinate repairs as needed
+ Manage Training Unit correspondence, mail, and shared email accounts
+ Schedule and confirm meetings, appointments, and training sessions; maintain related SLMS records
+ Coordinate use of training rooms and equipment; liaise with Office Services and IT Helpdesk
+ Conduct information searches online and support special projects or committees
+ Perform additional administrative duties as assigned
Required Qualifications:
+ Bachelor Degree OR HS Diploma and 2 years of relevant experience
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
+ Must be well versed in Excel including Bar Graphs and Pivot Tables
+ Strong organizational and communication skills
+ Experience with virtual meeting platforms (Webex, Teams, Adobe Connect, etc.)
+ Ability to manage multiple tasks and deadlines effectively
