    Job Description

    The Iowa Department for the Blind (IDB) is looking for a dedicated and organized Administrative Support Assistant 2to join our team! In this vital role, you'll play a key part in supporting our mission to empower individuals who are blind or low vision. You'll provide essential administrative support to our Vocational Rehabilitation program and counselors, directly contributing to successful outcomes for our clients.

    What You'll Do:

    + Clerical & Office Management:

    + Keep our counselors' schedules running smoothly by coordinating appointments and tracking important dates like eligibility, Individualized Employment Plan (IEP) development, and case closures.

    + Connect with various stakeholders, including administrative units, vendors, clients, and other service providers, to ensure seamless operations.

    + Maintain comprehensive records of clients, internal contacts, company directories, vendor information, and community resources.

    + Case Management Support:

    + Proactively monitor and track the receipt of critical reports and medical records needed for counselors to make timely eligibility determinations.

    + Help clients access necessary services by arranging or providing transportation and authorizing services as directed.

    + Be a crucial support system for our Vocational Rehabilitation Counselors, helping them achieve successful employment outcomes for our clients.

    + Client Service Provision:

    + Prepare, record, and process service authorizations after they've been reviewed by the counselor.

    + Engage with and recruit new providers and vendors to expand our network of support.

    + Coordinate the timely delivery of services to our clients.

    + Client Case File Management:

    + Maintain organized and accessible open and closed client files.

    + Oversee all electronic filing processes, including daily review of new case documents, to ensure accuracy and compliance.

    + Assist with filing and research for closed or transferred paper case files.

    + Review case records to ensure they meet all federal, state, and agency documentation requirements.

    6 months experience, 12 semester hours, or a combination of both in applying analysis and judgment to find and solve problems of grammar, spelling, punctuation, substance, format, organization, and style by altering, adapting, or refining content of publications, mass mailings, forms, or other material. Includes reviewing text for inconsistencies and rewriting text to improve accuracy, clarity, coherence, consistency, and effectiveness.

     

    Minimum Qualification Requirements

    Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

    + One year of full-time work experience in general office, clerical, data entry/processing, or related work.

    + A total of one year of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.

    + Current, continuous experience in the state executive branch that includes six months of full-time work as an Administrative Support Assistant 1.

    These guidelines must be met and need to be on the typing document you submit:

    + Gross number of words typed in afive minute timed test

    + Number of errors

    + Net words per minute (one point deduction for each error)

    + Your name and date must be on the document submitted to this office.

    + And it must be signed off by a witness or from the typing website's electronic signature.
