    Description of Department:

    Facilities Services, Major Projects, manages the capital projects for SUNY Oswego. In coordination with state agencies such as the New York State Construction Fund (SUCF) and the Dormitory Authority of the State of New York (DASNY). Major Projects addresses the needs of the campus for any new construction, renovation/rehabilitation, upgrade, or repair.

    The Facilities Services, Capital Projects at the State University of New York at Oswego invites applications to fill a full time Capital Project Facilitator.

    Review Date: Review of applications will begin immediately and will continue until the position is filled.

     

    Compensation: Salary range (https://www.suny.edu/hr/compensation/salary/) $65,000 - $75,000, commensurate with experience plus full New York State benefits package.

    Date of Appointment: As soon as possible

    Description of Responsibilities:

    + Work with Capital Project department to help maintain a smooth workflow

    + Approve Ready Requests & Create work orders as needed.

    + Close out work orders within the work order system per timeframes recommended and as needed

    + Create/process blanket PO's, Requisitions, Payment requests and receiving requests for Capital Projects

    + Take meeting minutes at meetings

    + Set up interviews through interview exchange and via email for Capital Projects (to include: Space reservations, calendar invites, paper processing)

    + Help manage interview exchange (to include: inbox, no, yes, short list, etc.)

    + Keep an inventory of toner for Capital Projects department

    + Answer calls for Capital Projects (i.e. x6600, any forwarded calls, etc.)

    + Keep organization charts updated

    + Help project managers in AiM when needed. Assist with training staff on how to use AiM.

    + Checking all work orders for labor and costs and adding costs from invoices and POs. Link documents, receipts, etc. to work orders in AiM.

    + AiM management of equipment, O&M manuals, PM's and any project management input

    + Basic office duties

    + Assist in maintaining, scheduling and logging training for staff, via email, google classroom and AiM

    + Create Google invites for meetings, training and interviews as needed.

    + Reserve rooms through campus life for meetings and training.

    + Receive and distribute mail and packages.

    + Maintain general knowledge of all campus events and procedures to better answer questions that are fielded by Capital Projects

    + Organize and maintain digital file folders and archive them into Google Docs

    + Field calls from Students, faculty, staff, and VIPs.

    + Prioritize tasks when dealing with multiple requests and people at once

    + Communication: Serve as a liaison between departments such as with Purchasing on contracts

    + Records: Maintain records such as closeout docs, organize databases such as the F-drive, and organize documents such as design standards

    + Productivity: Implement templates to improve productivity

    + All other duties as assigned by the Capital Projects department

    Job Requirements:

    Required Qualifications:

    + Bachelor's degree

    + 3 years of experience

    Preferred Qualifications:

    + Experience in a project management office
