    THE POSITION

    IN THIS ROLE, YOU WILL BE RESPONSIBLE FOR

    + A full range of secretarial functions and administrative activities for the ACT team;

    + Organizing and supporting a full range of office activities for the ACT team as well a full range of correspondence, reports, minutes, agendas etc.;

    + Review and screen all incoming correspondence, arrange and coordinate meetings, preparing weekly tracking forms for program;

    + Assist supervisor in collecting reports to meet fidelity standards;

    + Prepare and track ACT data and coordinates and schedules psychiatric appointments;

    + Conduct appointment reminders, schedules transportation for clients, manages and organizes money management program for ACT clients;

    + Prepare legal documents, takes and transcribes minutes of meetings, request medical records from outside agencies, responsible for data entry, and performs telecommunication functions as needed;

    + Greet and direct visitors; and

    + Answer phones, take messages, and answer questions requiring knowledge of terminology, organization, supervisor's responsibilities, etc. (e.g., appropriate referrals, general purpose of the unit).

    ABOUT US

    DMHAS is a health care agency whose mission is to promote the overall health and wellness of persons with behavioral health needs through an integrated network of holistic, comprehensive, effective, and efficient services and supports that foster dignity, respect, and self-sufficiency in those we serve.

     

    WCMHN was formed in 1996 in order to coordinate clinical, fiscal and administrative oversight of Region 5 contracted and state-operated mental health services. Their mission is to provide a comprehensive and effective recovery-oriented system of mental health and addiction services that promotes self-sufficiency, dignity, cultural sensitivity and respect.

     

    Within this service system, there are three state-operated Local Mental Health Authorities, which are located in Waterbury, Danbury and Torrington. In partnership with WCMHN, they provide and coordinate local clinical services. Over 200 staff including psychiatrists, nurses, social workers, rehabilitation and mental health workers provide services for persons with a long-term mental illness. Approximately 7,000 clients receive services in a variety of programs, including peer support programs, recovery services, supported employment, homeless services, residential, crisis services, jail diversion, outpatient, case management, Assertive Community Treatment Teams (ACTT) and young adult services.

    PURPOSE OF JOB CLASS (NATURE OF WORK)

    In a state agency this class is accountable for performing a full range of secretarial support functions.

    EXAMPLES OF DUTIES

    Performs a variety of secretarial duties as described in the following areas:

    + TYPING:

    + Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.;

    + Proofreads for content;

    + Edits using knowledge of grammar, punctuation and spelling.

    + FILING:

    + Designs office filing systems;

    + Organizes and maintains files (including confidential files);

    + Maintains, updates and reviews reference materials and manuals.

    + CORRESPONDENCE:

    + Composes routine letters/memoranda, etc. (e.g., standard replies and acknowledgement letters) for supervisor's signature.

    + REPORT WRITING:

    + Compiles information from standard sources and prepares data reports (e.g., number of forms processed during the month).

    + INTERPERSONAL:

    + Greets and directs visitors;

    + Answers phones and takes messages;

    + Answers questions requiring knowledge of terminology, organization, supervisor's responsibilities, etc. (e.g., appropriate referrals, general purpose of the unit).

    + PROCESSING:

    + Scans correspondence;

    + Pulls and attaches related materials;

    + Reviews, routes and prioritizes mail.

    + SECRETARY:

    + Arranges and coordinates meetings (including space and equipment);

    + Writes minutes of meetings, lectures, conferences, etc. from rough draft;

    + OFFICE MANAGEMENT:

    + Maintains an inventory of supplies and equipment;

    + Orders supplies when necessary;

    + Completes, processes, and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.);

    KNOWLEDGE, SKILL AND ABILITY

    MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

    Two (2) years of experience above the routine clerk level in office support or secretarial work.

    MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

    College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of one (1) year.

    PREFERRED QUALIFICATIONS

    + Experience with working in outpatient settings and providing services within the community

    + Experience in written documentation and managing large volumes of paperwork

    + Experience with mental health and/or substance abuse

    + Experience using Microsoft Office Suite including Outlook, Word and Excel

    + Experience using formulas and tracking data in Microsoft Excel

    + Experience organizing, prioritizing, and managing more than one task while meeting deadlines

    + Experience recording meeting minutes
