Description We are looking for a dedicated Billing Specialist to join our team on a contract basis in Shrewsbury, Massachusetts. In this role, you will play a key part in managing billing operations, ensuring accuracy in invoicing, and collaborating with project management to streamline processes. This position requires a strong focus on accounts receivable and collections, with an emphasis on maintaining efficiency and precision in all billing-related activities.

Responsibilities:

• Prepare and issue approximately 400 invoices per month in collaboration with project managers.

• Monitor and update billing statuses for a backlog of completed projects to ensure timely processing.

• Communicate with clients regarding purchase orders, change order requests, and other billing-related inquiries.

• Generate quotes for police details and outages on a weekly basis.

• Verify that completed work and billable costs are accounted for in customer invoices, including costs outside the original scope of work.

• Review job costs prior to finalizing invoices to ensure accuracy and profitability, and consult project managers when necessary.

• Organize and lead bi-monthly billing meetings with project managers, ensuring all reports and notes are properly documented and accessible.

• Handle accounts receivable collections for specific customers and project managers, following established procedures.

• Collaborate with the controller and maintain organized records in shared accounting folders. Requirements • Proven experience in accounts receivable, billing, and collections in a setting requiring attention to detail.

• Strong proficiency in cash applications and commercial collections processes.

• Familiarity with managing billing operations and handling cash activity.

• Ability to generate accurate invoices and resolve discrepancies effectively.

• Skilled in communicating with clients and internal teams to ensure smooth billing workflows.

• Detail-oriented with excellent organizational and time management abilities.

• Proficiency in using accounting software and maintaining shared documentation.

• Capable of working collaboratively with project managers and other stakeholders.
