This **Executive Business Administrator** role is a critical enabler for **Microsoft’s Financial Services Industries (FSI) Operating Unit** - a high-impact business driving strategic partnerships and growth across the banking, insurance, and capital markets industries. As a trusted partner to senior leaders, you will ensure operational excellence and business continuity by managing priorities, orchestrating complex schedules, and supporting initiatives that shape the OU’s success. The role provides comprehensive business support to designated leaders and their teams, ensuring operational excellence and smooth execution of priorities. Responsibilities include:
+ **Executive Support:** Strategic calendar management, travel coordination, and time planning aligned with leader preferences.
+ **Operational Management:** Expense tracking, budget support for events, space and supply planning, and hardware management.
+ **Event Coordination:** Plan and execute team and organizational events, including morale-building activities.
+ **Talent & Team Experience:** Support recruitment logistics, onboarding, and employee lifecycle processes in collaboration with HR partners.
+ **Project & Business Rhythm:** Manage organizational projects, maintain cadence of business operations, and ensure policy compliance.
+ **Leadership & Collaboration:** Build networks across teams, lead by example, and foster a positive, inclusive team culture.

Responsibilities
Strategic Calendar Management
+ Manage a complex, rapidly changing calendar, including evening/weekend checks.
+ Align priorities based on leader’s objectives and operating style; anticipate conflicts and proactively resolve them.
Travel Planning
+ Provide end-to-end coordination for domestic and international travel, including itineraries, logistics, contingency planning, and onsite support during major events (e.g., Inspire, Ready).
Rhythm of Business (ROB)
+ Drive business cadence by scheduling key meetings, team syncs, and strategic checkpoints. Ensure alignment with organizational priorities.
Meeting & Event Coordination
+ Plan and execute staff meetings, offsites, and morale events. Own agenda development, logistics, and material preparation for leadership and team gatherings, including driving workback schedules, checkpoints, and post-event close-out (tracking attendance, distributing materials).
Budget & Expense Oversight
+ Support discretionary budget tracking, morale costs, and expense management.
+ Partner with Business Manager on purchase orders and vendor accounts.
Team Partnership & Collaboration
+ Collaborates with internal stakeholders and peer groups and may communicate with external parties.
+ Work closely with the Business Manager and internal stakeholders to enable team operations.
+ Build and leverage networks across organizations to support leader and team goals.
Employee Lifecycle Support
+ Facilitate onboarding, headcount tracking, and interview coordination. Partner with Global Talent Acquisition for recruitment processes and manage headcount transactions and system updates.
Operational Excellence
+ Manage space, supply, and hardware planning. Balance multiple projects with varying deadlines while maintaining executional rigor, including risk identification, impact analysis, and process improvement responsibilities.
Process & Detail Orientation
+ Demonstrate strong process discipline, attention to detail, and system proficiency to ensure accuracy and compliance across all tasks.
Leadership & Community Engagement
+ Serve as a role model within the Business Support community by demonstrating executive presence, influencing others, and fostering positive team culture.

Qualifications
Required Qualifications
+ 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management
+ Experience in managing shifting priorities & changing environments to make timely, informed decisions in high-pressure situations
+ Ability to organizes complex information effectively and communicates with clarity and precision
Preferred qualifications
+ Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
+ OR equivalent experience
+ 2+ years experience serving as mentor to others
+ 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
+ Proficiency with MS tools preferred - Outlook, MS Expense, My Order, MS Approval, MS Travel, Virtual Studios Online (VSO), etc.
+ Adaptable and must work successfully in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally
+ Ability to work independently, deal with ambiguity, and to solve routine problems proactively and effectively
+ Ability to maintain confidentiality of highly sensitive material and information with discretion and professionalism
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
