    Job Title: Purchasing Administrative Assistant

    Job Description

    We are seeking a dedicated and organized Purchasing Administrative Assistant to support our purchasing operations. This role involves managing the purchase requisition to purchase order process, ensuring all approvals are completed, and coordinating with suppliers and internal teams.

    Responsibilities

    + Manage the purchase requisition to purchase order process for various business units.

    + Ensure all approvals are completed prior to creating purchase orders.

    + Create purchase orders, send them to suppliers and requestors, and file them with required documents.

    + Update purchase orders and add tariffs as necessary.

    + Run the Purchase Order Confirmation report.

    + Collaborate with Accounting and Receiving teams to ensure purchase orders are processed for payment.

    + Conduct weekly meetings with Finance to address invoicing issues, adjusting for receiving and pricing discrepancies.

    + Add new suppliers in IT systems, ensuring data is input correctly and in a timely manner.

    + Send documents to suppliers and monitor for timely responses.

    + File required documents upon completion.

    + Prepare and send supplier communications.

    + Approve purchase order reports for Sourcing and Planning.

    Essential Skills

    + Proficiency in administrative assistance and purchase order management.

    + Strong skills in Microsoft Office and inventory management.

    + Excellent organizational skills.

    + Effective communication skills with internal and external parties.

    + Ability to work with a sense of urgency and multitask effectively.

     

    Additional Skills & Qualifications

     

    + Experience with ERP systems is beneficial but not required.

    + Experience working with multiple software or databases is helpful.

     

    Work Environment

     

    This position requires working 100% on-site, Monday through Friday, from 8 AM to 5 PM.

     

    Job Type & Location

     

    This is a Contract position based out of Noblesville, IN.

    Pay and Benefits

    The pay range for this position is $25.00 - $27.00/hr.
