    Your Specific Responsibilities:

    This is a specialized independent professional position who works under the direct supervision of the Office Operations Manager II. This is a highly visible and skilled position involving exercise of independent judgment and initiative in General Services Division DOH-Duval. The incumbent also provides program development and data tracking management and analysis. Performs duties and operations according to established policies and procedures.

     

    Develops plans to accomplish work, including prioritizing tasks to be completed. Gathers and organizes information on problems and procedures. Consults with Director, Managers and Supervisors to resolve programmatic, administrative and operational issues and problems. Investigates, assesses, analyzes and makes recommendations to Administration to solve problems, document workflow and other activities related to improvement of operational practices. Directly performs on-site analysis of operational problems and report to leadership. Monitors operation activities to ensure service objectives are met. Reviews applications and interview prospective employees. Reviews, researches, prepares and tracks correspondence, organization charts, maintenance requests and others as needed.

     

    Assists Administrator for Records Management with current archiving company, act as back-up Records Management Liaison Officer (RMLO) for DOHD. Run system destruction reports annually and ensure all departments complete and submit request for destruction, at least annually. Provide general office assistance with Data Savers archiving, Vehicles, Janitorial reports and clerical support, filing, data entry, etc. to Department Director, Manager, and supervisors. Compile and type reports from records. Record, compile, enter, and retrieve information, by hand or using computer. Ensures all separated staff access is terminated, and they are removed from the system. Serves as a back-up Administrator on Alarm Systems (Verkada) for all DOHD sites. Maintain and update database; all access codes and authorized user list; and all terminations, resignations and any changes on the emergency call list, in accordance with DOHD Physical Security Policy, and ensure policy is adhered to when requests are made for access to any site. Provide monthly reports and updates to all relevant parties as necessary.

     

    Collects, evaluates and analyzes data for reports and spreadsheets. Designs, maintains various databases and submits reports, as directed. Prepares presentations, as needed. Assist with the electronic generation of reports and provides email notifications as needed. Maintains and monitors shared drive for General Services Director and Manager’s folders. Scans documents into Adobe Acrobat/MS Word as directed. Composes, types, and edits correspondence, memorandum, reports, records, forms, and other materials in a concise and positive manner. Proofreads all correspondence for spelling, punctuation, and grammar. Operates personal computer and other office equipment. Accepts and reviews all incoming mail and faxes and disseminates to all appropriate parties; assist with inventory and ordering office and clerical supplies in AOD/Ariba, as needed. Incumbent is expected to perform all duties in accordance with established performance standards and expectations. Assists in all phases of the front desk and mail room duties, to include but not limited to, ability to lift and move a 50lb box. Perform courier duties, as needed. Responds to clients in a quick and professional manner. Establish and maintain customer and vendors relationships with both internal and external clients. Monitors work request system. Assigns, creates and tracks General Services work requests and IT requests as needed to ensure the facility works efficiently. Performs special assignments, research and report preparation. Manually and electronically files incoming documents related to the program’s activities, on at least a weekly basis.

     

    Communicates in a courteous, professional and accurate manner in writing, orally, in person and through electronic means, with linguistic and cultural proficiency. Ensures all calls are referred to the appropriate person or division within the agency. Takes accurate and complete messages, answers routine questions and provides to the department when information is needed. Ensures a variety of approaches are considered and used to disseminate information to groups and individuals and groups. Ensures and maintains the collaboration and partnerships of key stakeholders and vendors. Identifies community assets and resources; gathers information for the development of policies and programs. Assesses and responds with strategies for interacting with persons from diverse backgrounds.

     

    Adheres to organizational policies and procedures regarding all finance and management areas. Basic maintenance to all our DOH-Duval sites and administration buildings, as able and needed. Maintain and update driving files to reflect accuracy and compliance. Assist with maintaining of all vehicle logs. Serves as back-up to coordinate vehicle inspections for all departments for the safe operation of all mobile units.

     

    Cross train throughout department, to include but is not limited to: Mail Room, Courier, Front and Information Desk and Maintenance Staff and all activities encompassed, which may include lifting equipment, boxes, etc.

     

    Attend in-service education, staff meetings and health promotion activities. Assist with new employee orientation, as needed. Incorporates ethical standards of practice into all interactions with clients and team members. Demonstrate self-awareness and a commitment to personal development. Demonstrate public service professionalism and integrity. Uses DOH policies and procedures to inform decisions; seeks advice from supervisors or other authority; utilizes research or professional organization standards or information to inform decisions.     Participate in the departmental Disaster Preparedness and Recovery Plan operations including other emergency related functions. Early morning, evening and weekend assignments may be required and responsibilities at other DOHD sites as necessary.

    Required Knowledge, Skills, and Abilities:

    Computer literate to complete training, and other necessary tasks online. Microsoft Office Products not limited to, but may include Outlook, Word, Excel, etc., the use of a Fax machine and other general office equipment, etc. Must be to communicate professionally both orally and electronically. Must be able to lift 50 lbs.
