Job Summary
The Senior Digital Project Manager leads the planning, execution, and delivery of complex digital marketing and web development projects. This role serves as the primary liaison between internal teams and strategic partners, ensuring that all digital initiatives are delivered on time, within budget, and aligned with university marketing and departmental goals.
The ideal candidate combines strategic communication skills with technical fluency and hands-on project leadership experience. This role will oversee multidisciplinary teams including university stakeholders, developers, designers, operations and finance staff, and marketing account executives to bring digital solutions to life while fostering collaboration and accountability. This role ensures every deliverable is clear, actionable, and aligned with expectations. They’ll deliver exceptional digital experiences on time, on budget, and to the highest standards.
Responsibilities
Digital Project Leadership & Coordination
+ Collaborate with internal teams and project stakeholders to define goals, project objectives, scope, key milestones, deliverables, timelines, and success metrics.
+ Translate strategic goals into actionable digital deliverables, including digital marketing campaigns, cloud platform migrations, web accessibility initiatives, website builds, UX improvements, custom post type design and development, and other platform integrations.
+ Develop project roadmaps, sprint schedules, and detailed task assignments within Asana to maintain alignment and accountability.
+ Manage multi-million-dollar digital advertising campaigns, including campaign strategy, communications, performance monitoring, accessibility, budgeting, and identifying opportunities for improvement.
+ Serve as the central communication point between stakeholders, developers, designers, and partners to ensure transparency and cohesion throughout each phase.
+ Anticipate risks, manage dependencies, and ensure projects meet strategic and technical requirements while effectively managing resources to support successful delivery.
+ Draft, review, and manage project charters while maintaining detailed project documentation.
+ Facilitate clear, consistent communication among internal teams, vendors, and project stakeholders to ensure alignment and expectations are met.
+ Track whether projects exceed, meet, or fall short of delivery expectations, focusing especially on the 6-month delivery benchmark.
Task Management & Documentation Excellence
+ Lead cross-disciplinary teams including content creators, developers, designers, business analysts, and university partners through all phases of delivery.
+ Establish clear roles, responsibilities, and communication workflows for smooth collaboration between technical and non-technical stakeholders.
+ Facilitate sprint planning, stand-ups, retrospectives, and post-launch reviews to drive iterative improvement.
+ Partner with strategic vendors, freelancers, and agencies to ensure quality, efficiency, and innovation (as needed).
+ Ensure every Asana task is clear, comprehensive, and actionable, containing all necessary context for successful completion.
+ Maintain meticulous task details, including:
1. Project name and URL
2. Detailed task description outlining what’s required and why
3. Figma link to approved design or visual reference
4. Box link to functional specs or documentation
5. Dependencies (linked tasks or prerequisite milestones)
6. Timeframe (typically one sprint or two weeks)
7. Task Status (in-progress, blocked, complete, etc.)
8. Supporting comments for notes, internal feedback, and review steps
+ Audit Asana regularly to ensure accuracy, consistency, and alignment with internal project management standards, verifying that project phase, status, priority, delivery dates, and team assignments remain up to date for accurate real-time reporting.
+ Train and support team members on best practices for Asana usage, communication clarity, and task detail standards.
+ Maintain thorough and actionable meeting notes in Box that enhance visibility, reinforce accountability, and ensure alignment across all project stakeholders.
Execution, Quality Control & Delivery
+ Oversee digital production lifecycles, ensuring projects meet accessibility, performance, and brand standards.
+ Monitor progress across deliverables to ensure alignment with specifications, scope, and schedule.
+ Uphold accessibility and brand standards across all web experiences, maintaining consistency across browsers and devices.
+ Document functional requirements and acceptance criteria that guide design and development teams.
+ Maintain a clear line between business goals and technical execution.
+ Define actionable digital deliverables such as website features, UX enhancements, content architecture (including custom post types), and third-party integrations.
+ Lead the website QA process from internal testing through stakeholder approval and launch.
+ Manage QA documentation and track issues from discovery through resolution.
+ Facilitate stakeholder-quality-assurance reviews, ensuring all feedback is documented, prioritized, and addressed before launch.
+ Use tools like Markup.io and Zapier to coordinate, document, and monitor stakeholder-quality- assurance.
+ Participate in User Acceptance Testing ( UAT ) to confirm that final deliverables meet requirements and deliver the intended value.
+ Ensure QA feedback is properly logged, prioritized, and resolved before handoff. Partner with developers and designers to confirm fixes are deployed and verified in staging before production.
+ Ensure all projects and deliverables are properly documented and tracked within Asana and Box for visibility, accountability, and post-project analysis.
Partnerships & Stakeholder Collaboration
+ Build and maintain strong relationships with key strategic partners, account executives, developers, designers, digital media, research and operations, communications, strategy, and vendor partners to enhance digital capability and delivery quality.
+ Facilitate alignment between stakeholder expectations and production capacity through clear, proactive communication and transparency.
+ Support leadership in developing scalable digital frameworks and best practices for future projects.
+ Facilitate sprint planning, retrospectives, and post-launch reviews to capture lessons learned and drive process improvement.
+ Collaborate with University Information Technology ( UIT ) to maintain an up-to-date registry of all UMC production websites and domains, ensuring that every new web project is entered in UIT’s official web registration documentation at project kickoff.
+ Collaborate with the finance team to submit and reconcile billing for digital ad campaigns and other project work.
Execution, Delivery, and Resource Management
+ Track and report on project performance metrics, including delivery timelines, budget adherence, and stakeholder satisfaction.
+ Conduct post-project evaluations to provide insights and recommendations for improved efficiency and delivery outcomes.
+ Contribute to the development of internal workflows, templates, and documentation standards to enhance project management maturity.
+ Oversee all phases of digital project delivery ensuring work meets specifications, budgets, and deadlines.
+ Track resource allocation and team time to ensure utilization aligns with project goals.
+ Manage vendor invoicing, P-Card reconciliation, and billing processes while coordinating with strategic partners to ensure accurate financial tracking.
+ Actively adopt and utilize Asana and AirTable for project tracking, task management, and billing documentation to ensure visibility, accountability, and standardized record-keeping practices.
+ Prepare and submit billing documentation for digital ad campaigns, ensuring all deliverables, spend, and performance data are properly recorded.
Minimum Qualifications
+ PMP certification strongly preferred.
+ Bachelor’s degree in marketing, communications, business, or a related field (Master’s preferred).
+ Experience coordinating marketing or communications projects preferred.
+ Strong organizational and time management skills, with the ability to manage multiple projects simultaneously.
+ Excellent verbal and written communication skills.
+ Proficiency with project management tools (e.g., Asana), cloud-based file storage (Box), and Microsoft Office Suite.
+ 5+ years of experience managing digital projects.
+ Deep understanding of web development processes, WordPress CMS platforms, and UX/UI principles.
+ Proven experience with website QA, staging workflows, and stakeholder feedback management.
+ Expertise in Asana (or similar tools) with a strong focus on process accuracy and documentation standards.
+ Proficiency in Figma, Box, and QA tools (Markup.io, Zapier, etc.).
+ Exceptional communication, prioritization, and problem-solving skills.
+ Experience managing cross-functional teams and vendors.
