Job Title: Administrative Assistant
Duration: 7 Months (Possible for an extension after the budget)
Work Schedule: Monday–Friday, 40 hours/week (no overtime)
Pay Rate Range: $25 to $28/hour
Position Summary
The Administrative Assistant provides comprehensive administrative and operational support to multiple teams within a fast-paced, cross-functional environment. This role ensures efficient day-to-day operations through effective scheduling, coordination, and process management.
Key Responsibilities
Administrative & Operational Support
+ Provide general administrative support for multiple teams or departments.
+ Manage calendars (primarily backup support), coordinate meetings, and prepare agendas.
+ Organize and support team events, department operations, and special projects.
Travel, Expense & Procurement Management
+ Coordinate travel arrangements and process business expenses.
+ Manage procurement of goods and services such as office supplies, equipment, and vendor relationships.
+ Support facility purchasing, space planning, and office logistics.
Policy, Process & Compliance
+ Enforce and uphold department policies and procedures.
+ Support financial operations, personnel processes, and administrative compliance activities.
Cross-Organizational Coordination
+ Provide administrative help across multiple teams to ensure smooth collaboration and operational alignment.
Physical Support
+ Perform light physical tasks such as lifting items up to 20 lbs and managing office setups as needed.
Required Skills & Qualifications
+ **Experience:** 3–5+ years of administrative experience in a fast-paced, cross-functional environment.
+ **Technical Skills:**
+ Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint) – 3–5 years.
+ Experience with Travel & Expense Management systems (e.g., Concur) – 2–3 years.
+ Knowledge of Procurement & Office Operations (supplies, vendor coordination, space planning) – 2–3 years.
+ **Soft Skills:**
+ Strong organizational, project management, and communication skills.
+ Excellent attention to detail and customer service orientation.
