    Site Leader Position Profile

     

    The Site Leader is accountable for the daily operations of a small site and serves as the go-to person for a small team. This role involves reporting and escalating facility-related issues to assigned leadership, maintaining acceptable profit levels, and ensuring customer service expectations are met. The Site Leader is responsible for contracted office services, including but not limited to:

     

    + Copy Services

    + Courier Services

    + Managed Print Services

    + Hospitality

    + Imaging

    + Mail Services

     

    For sites without an assigned Site Manager, the Site Leader acts as the primary contact for customer issues and contract compliance.

    Job Duties and Responsibilities

    + Oversee daily operations of a mailroom, copy center, or scanning facility, including use of PCs, copiers, multifunction devices, imaging, and mail equipment

    + May manage courier services, reception, switchboard operations, shipping & receiving, and mail processing

    + Act as team lead for a small group, assisting with job assignments, project scheduling, and supervision of break times

    + Serve as the on-site point of contact for customer issues and contract compliance

    + Train and develop assigned staff

    + Maintain daily formal contact with customers

    + Implement and manage RICOH Service Excellence programs

    + Analyze and resolve problems with minimal guidance

    + Understand and track Service Level Agreements (SLAs), report compliance, and implement performance improvements

    + Assist leadership with recruiting, staffing, and performance management

    + Foster positive internal communication and relationships

    + Provide workflow and machine operations training as needed

    + Supervise material and supply usage to achieve shift profitability

    + Ensure quality and deadline standards through effective job scheduling

    + Hold team accountable for workflow efficiency and quality

    + Resolve pricing and order issues in collaboration with the sales department

    + Complete site reports and paperwork accurately and on time

    + Perform routine tasks such as work orders, contractor monitoring, inspections, and facility issue reporting

    + Interact with vendors, facility management, and occupants as needed

    + Manage office supply inventory and reordering

    + Coordinate conference rooms and A/V equipment resources

    + Prepare month-end management reports in the absence of a Site Manager

    + Support AOM/ESM or NOM in training and development of site personnel

    + Place requisitions using Oracle’s iProcurement system

    + Perform other duties as assigned

    Qualifications (Education, Experience, and Certifications)

    + High school diploma or GED required

    + 2+ years of experience in a related B2B or technical field

    + Prior training experience strongly preferred

    + 2+ years of customer-facing experience required

    + Proficient understanding of technology

    Knowledge, Skills, and Abilities

    + Tactical process facilitation

    + Ability to present to small groups

    + Moderate problem-solving skills

    + Intermediate customer service and technical aptitude

    + Strong written and verbal communication skills

    Working Conditions, Mental and Physical Demands

    + Typical office environment with standard lighting, ventilation, and noise levels

    + Requires interpretation and application of complex data and instructions

    + Some physical effort required: walking, standing, bending, lifting up to 50 lbs

    + Moderate dexterity: regular use of calculators, keyboards, hand tools, and coordination
