Position Overview
A dynamic construction firm is seeking a detail-oriented and proactive Construction Administrative Professional to support executive leadership, project management, and engineering teams. This role requires strong organizational and communication skills, the ability to manage sensitive information with discretion, and a proven ability to thrive in a fast-paced environment.
Key ResponsibilitiesExecutive Support
+ Provide administrative assistance to senior leadership, including calendar coordination and meeting scheduling
+ Prepare, edit, and proofread reports, presentations, and business documents
+ Serve as a liaison for executive communications, ensuring timely and professional responses
+ Maintain organized digital and physical filing systems for easy access and compliance
Office Management
+ Oversee daily office operations, including supply management and equipment maintenance
+ Coordinate logistics for meetings, events, and conferences
+ Manage incoming and outgoing correspondence, prioritizing urgent matters appropriately
Project Coordination
+ Support project tracking by monitoring deadlines, deliverables, and progress updates
+ Maintain Certificates of Insurance for all active projects
+ Prepare meeting agendas, record minutes, and follow up on action items
+ Handle confidential project data with discretion and accuracy
Client & Vendor Relations
+ Communicate with clients, vendors, and subcontractors on behalf of executives
+ Audit Certified Payroll records to ensure compliance with state and local regulations
+ Schedule and coordinate client-facing meetings and presentations
Problem Solving & Decision-Making
+ Proactively identify and resolve administrative challenges to maintain operational efficiency
+ Make informed decisions regarding scheduling and workflow in the absence of leadership
Qualifications
+ 5+ years of experience in executive-level administrative support, preferably within construction or a fast-paced corporate setting
+ Advanced proficiency in Microsoft Office Suite, Google Workspace, and project management tools
+ Strong organizational and multitasking abilities
+ Excellent written and verbal communication skills
+ High level of discretion in handling sensitive information
+ Ability to work independently and collaboratively
+ Resourceful and proactive problem-solving mindset

Job Type & Location
This is a Contract to Hire position based out of Branford, CT.
Pay and Benefits
The pay range for this position is $31.25 - $38.46/hr.
