    DESCRIPTION

    About the Position

     

    We have an exciting opportunity for a Spanish-speaking Office Assistant in the Lane County Clerk’s Division at the Deeds and Records Office!

     

    This position is part of a positive, highly productive, and detail-oriented team that excels at providing excellent customer service to the community. As a member of this team, you would perform a variety of tasks such as recording property documents, issuing marriage licenses and domestic partnerships, prepare for civil marriage ceremonies, retain county records, and support the Property Value Appeals Board process. Deeds and Records staff also support the Elections Office during peak election cycles.

    Key Responsibilities

    • Accurately process cash, credit card and check transactions

    • Provide excellent customer service

    • Record property documents accurately and efficiently

    • Issue marriage licenses and domestic partnerships

    • Process property tax appeal petitions

    • Support the Elections team during elections, including tasks such as processing ballots and assisting voters

    • Complete all tasks with a high degree of attention to detail and accuracy

     

    About the Division

     

    The County Clerk will administer all federal, state, and local laws as they apply to conducting elections, processing voter registration, recording land documents, and issuing marriage licenses, while maintaining the highest degree of integrity and accuracy, and providing exceptional customer service.

     

    Schedule: Monday - Friday; 8:00am - 4:30pm; possible overtime and limited periods of time with restricted time off, during peak election season.

    QUALIFICATIONS

    Training:

    + Equivalent to the completion of the twelfth grade.

    Experience:

    + Two years of responsible clerical and office assistance experience.

     

    An equivalent combination of experience and training that will demonstrate the required knowledge and abilities is qualifying.

    Testing Requirements

    + Successful hire will be contingent upon taking a bilingual test to demonstrate proficiency in both English & Spanish

    Bilingual designation is an adjunct classification.

    DEFINITION:

    To assist in providing bilingual communication with Limited English Proficient (LEP) persons. Individuals in these classifications do more than self-identify; they have successfully passed a test demonstrating proficiency in both English and the other language administered by the County. The need for the use of the second language in the performance of job duties in this classification has been identified.

    EXAMPLES OF DUTIES:

    In addition to the regular knowledge, skills, and abilities required of the employee’s main classification, the bilingual duties of this adjunct classification may include, but are not limited to the following:

    + Interpreting between English speakers and LEP persons.

    + Orally translating documents

    + Providing oral assistance

    + Providing written assistance, including some written document translation

    MINIMUM QUALIFICATIONS:

    Knowledge of:

    Both languages, demonstrating the ability to convey information in both languages quickly and accurately.

    Ability to:

    + Communicate clearly and concisely.

    + Maintain confidentiality of communications.

    EXPERIENCE AND TRAINING:

    An equivalent combination of experience and training or demonstrated abilities qualifying the employee or applicant to perform the duties described herein. These skills and abilities may be acquired in various ways; i.e., education and/or bilingual or bicultural experiences.
