    Description of Job

    About the role:

    The Executive Assistant to the Executive Directorat the Department of Revenue provides high-level administrative, organizational, and strategic support to the Executive Director’s Office. This role encompasses traditional executive support while also serving as a key coordinator and liaison for the Department's regulatory agencies and the state licensing authority. The EA also supports the Deputy Executive Director and additional EDO leaders to ensure efficient operation, confidentiality, and effective communication with both internal and external stakeholders.

    What You'll Do:

    Legal Support and Regulatory Document Coordination

    + Legal Document Management and Tracking: Assist the Executive Director and DOR legal counsel with the coordination, tracking, and organization of sensitive legal documents, policy drafts, and regulatory filings.

    + Formal Action Support: Manage the administrative flow and coordination for formal regulatory actions, including the tracking and routing of stipulations, orders to show cause and final agency orders.

    + Service Coordination: Coordinate the official service and documentation requirements for legal and regulatory documents, ensuring compliance with administrative procedure and legal deadlines.

    Executive Administration and Office Management

    + Manage Complex Schedules: Proactively manage calendars, including scheduling meetings, coordinating internal and external appointments, and prioritizing commitments based on strategic importance.

    + Correspondence and Communication: Draft, proofread, and manage sensitive correspondence, memos, reports, and presentations for senior leadership, ensuring high standards of professionalism and accuracy. Act as a primary point of contact and filter for communications directed to the Executive Director.

    + Meeting Preparation and Logistics: Organize and coordinate executive-level meetings, including Cabinet-level and board meetings. Prepare agendas, compile background materials, manage technology, record official minutes, and ensure timely follow-up on action items.

    + Travel Coordination: Coordinate and manage all travel logistics and itineraries for the Executive Director.

    + Office Operations: Maintain a highly organized and confidential executive office environment, managing files, documents, and sensitive information with discretion.

    Customer Service and Communications Support

    + Liaison Role: Serve as the central point of contact for external stakeholders, including the Governor’s Office, other state agency heads, legislative staff, and external regulatory bodies.

    + Project Management: Coordinate cross-functional projects and initiatives originating from the Executive Director’s office, ensuring alignment across regulatory agencies and departmental priorities.

    + Issue Resolution: Triage and track sensitive public inquiries and complex regulatory issues escalated to the Executive Director, ensuring timely referral to the appropriate departmental division for resolution.

     

    Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

     

    Education and Experience

    Required:

    + Bachelor’s degree in Business Administration, Public Administration, Legal Studies, or a related field and a minimum of 5 years of progressively responsible experience providing executive support to a senior executive or director;

    OR

    + Associate degree in Business Administration, Public Administration, Legal Studies, or a related field and a minimum of 7 years of progressively responsible experience providing executive support to a senior executive or director;

    OR

    + Minimum of 9 years of progressively responsible experience providing executive support to a senior executive or director

    Preferred:

    + Experience in a government, regulatory, or legal environment

    Knowledge, Skills, and Abilities

    + Advanced Administrative and Organizational Skills: Exceptional ability to manage multiple priorities, meet deadlines, and handle confidential information with impeccable judgment and discretion.

    + Legal/Regulatory Acumen: Strong understanding of government operations, the legislative process, and the role of a state regulatory and licensing authority. Proven experience handling and coordinating formal legal or regulatory documents (like stipulations or orders to show cause) is highly desirable.

    + Communication Skills: Superior written and verbal communication skills, including the ability to draft professional, precise, and persuasive materials.

    + Technology Proficiency: Expertise in Microsoft Office Suite and Google Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar/scheduling software, document management systems, and virtual meeting platforms.

    + Interpersonal Skills: Proven ability to build and maintain effective working relationships with diverse stakeholders, including high-ranking officials, staff, and the public.

     

    Supplemental Information

    Conditions of Employment with the CDOR:

    Employees are in a position of public trust in the performance of their job duties and must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.

     

    As a condition of employment with the CDOR, all personnel must file all necessary Colorado Individual Income Tax (CIIT) returns and pay tax obligations, therefore all employees must undergo a pre-employment evaluation of their tax records/accounts to ensure compliance with this policy. Final candidates must also complete a successful background investigation and reference check prior to appointment. Certain positions based on duties may require scheduled background investigations.

     

    Pursuant to the Universal Driving Standards Policy (https://osc.colorado.gov/sites/osc/files/documents/Universal%20Policy%20Driving%20Standards.pdf) , any worker who will be expected to drive a State-owned vehicle is responsible for maintaining a safe driving record and a valid driver license prior to driving any State-owned vehicle.

    To be compliant with the new fleet vehicle policy, Motor Vehicle Records (MVRs) will be pulled for review for workers who:

    + Have an assigned State fleet vehicle

    + Are required to operate a vehicle as part of the position

    + Utilize a State fleet vehicle as a pool vehicle
