Description
We’re seeking a skilled and detail-oriented Administrative Specialist, Senior to support our Transit Maintenance team. In this role,you’ll make sure parts, supplies, and services are available to keep our fleet running safely and efficiently. You’ll coordinate between departments, manage inventory, and ensure that purchasing and record keeping processes run smoothly from start to finish.
Duties and Responsibilities
+ Receive, organize, and track parts, materials, and supplies for Transit Maintenance.
+ Process vendor invoices and purchase orders accurately and on time.
+ Fulfill mechanics’ parts requests and maintain proper stock levels.
+ Manage inventory and adjust minimum and maximum quantities as needed.
+ Follow audit and inventory control procedures to maintain compliance.
+ Dispose of expired or outdated materials appropriately.
+ Serve as a liaison between:
+ Parts Department and Shop Technicians – ensuring clear communication and efficient parts ordering.
+ Parts Department and Fiscal Department – ensuring purchase orders are accurate and any issues are resolved quickly.
+ Analyze vendors and parts options to determine the best choices based on cost, warranty, and contract terms.
+ Support the Fleet Manager with special projects, process improvements, and data analysis.
+ Act as the Fleet Information Management System (FIMS) Administrator:
+ Serve as the single point of contact (SPOC) for FIMS questions.
+ Keep system data accurate and up to date.
+ Work with IT staff and vendors to resolve any software or hardware issues.
+ Maintains rolling stock and fixed asset inventories:
+ Tracks rolling stock inventory and vehicle life cycle information.
+ Receives and processes new vehicle documentation.
+ Prepares annual asset inventory and follows disposal procedures.
Education, Experience, Licensing
Education & Experience
+ Any combination of education and experience equivalent to:
+ High School diploma or GED, and
+ One (1) year of specialized training (such as some college coursework) in business administration, finance, or a related field, and
+ Two (2) years of experience in clerical, customer service, administrative, data/inventory management, or office support work.
(Equivalent combinations of education and experience will be considered.)
License Requirement:
+ Valid driver’s license with a good driving record.
Supplemental Information
Schedule: Monday–Friday, 7:30 a.m. – 4:30 p.m.

Retirees of the Investment Plan are eligible for renewed membership in the Investment Plan only. FRS reemployment rules apply for both.
