Job Description
Position Summary
We are seeking a detail-oriented and proactive Administrative Assistant to support our legal team in daily operations and billing functions. This role is ideal for someone with strong organizational skills, a professional demeanor, and a keen interest in legal administration and financial processes.
Key Responsibilities
Administrative Support
• Manage calendars, schedule meetings, and coordinate appointments for attorneys.
• Answer and direct phone calls, emails, and client inquiries professionally.
• Prepare and file legal documents, correspondence, and reports.
• Maintain and organize physical and digital legal files.
• Assist with legal research and trial preparation as needed.
• Order and manage office supplies and coordinate vendor services.
Billing & Financial Tasks
• Assist with editing and maintaining prebills and invoice drafts.
• Submit finalized invoices via email or billing software.
• Track billing cycles and ensure timely submissions.
• Update billing rates and client information in billing systems.
• Support month-end and year-end close processes.
• Communicate with clients regarding billing inquiries and resolve discrepancies.
• Generate standardized and ad hoc billing reports.
Compensation:
$20/hr to $25/hr.
Exact compensation may vary based on several factors, including skills, experience, and education.
Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.

Skills and Requirements
Qualifications
• 2+ years of administrative experience; law firm or professional services preferred.
• Familiarity with legal terminology and procedures.
• Experience with billing software (e.g., SurePoint, QuickBooks, or similar).
• Proficiency in Microsoft Office Suite, especially Excel.
• Strong attention to detail and ability to manage multiple priorities.
• Excellent written and verbal communication skills.
High level of discretion and professionalism. Preferred Skills
• Associate’s or Bachelor’s degree in Business Administration, Legal Studies, or related field.
• Experience with legal billing platforms and document management systems.
Notary Public certification is a plus.
