    The **_Program Operations Analyst_** supports the University of Washington’s compliance with state and federal laws governing records management, public records, open public meetings, and electronic discovery. This position plays a key role in advancing the missions of Records Management Services, the Office of Public Records/Open Public Meetings, and the e-Discovery units within the Risk Management division by providing analytical, operational, and administrative support. The Analyst ensures accurate and efficient handling of records throughout their lifecycle in compliance with RCW 40.14, RCW 42.56, and RCW 42.30.

     

    By supporting eDiscovery processes, maintaining legally compliant records retention schedules, and assisting with public records request coordination, the position helps the University minimize legal and reputational risk while promoting accountability, transparency, and operational efficiency. The Analyst applies professional judgment and problem-solving skills in data and process analysis, provides consultative services to stakeholders, and contributes to the University’s long-term strategic compliance and risk management objectives.

    Duties & Responsibilities:

    eDiscovery Support

     

    Provide administrative and analytical support to the eDiscovery Manager for the centralized collection of UW records and information to ensure timely, accurate, and compliant records collection.

    Responsibilities include:

    + Researching and verifying NetIDs and associated account information

    + Using Workday to confirm employee unit home and organizational assignment

    + Reviewing Purview sample results for accuracy and completeness

    + Preparing and sending Collection Notifications to record holders

    + Responding to questions from record holdersregardingthecentralized records collectionprocess and providing guidance as needed

    Office of Public Records

    Support the Office of Public Records (OPR) in managing compliance with RCW 42.56 (Public Records Act) and RCW 42.30 (Open Public Meetings Act).

    Responsibilities include:

    + Initiating communication with requesters early in the request process to clarify scope and requirements

    + Following up with unit liaisons on overdue or incomplete record searches

    + Responding tofrequentlyasked questions from both requesters and record holders

    + Providing calendar and scheduling support for OPR leadership

    + Assistingin record retention management to ensure compliance withUniversityand state requirements

    + Providing general administrative support for OPR operations, including phone, mail, and inbox management

    Records Management

    Assist Records Management Services in ensuring compliance with RCW 40.14 and University recordkeeping standards. Responsibilities include:

     

    + Supporting the University Records Center daily operations

    + Consulting with University offices, departments, and programs on records management compliance issues

    + Analyzing existing records retention and essential records schedules to ensure legal sufficiency and alignment with state and institutional standards

    + Engaging subject matter experts and other stakeholders tovalidateand update records retention schedules to meet University operational needs

    General Duties

    Provide general support across the Risk Management division as part of an administrative/analyst pool.

    Responsibilities include:

    + Scheduling and supporting meetings, includinglogisticsand documentation

    + Coordinating projects and monitoring progress toward deliverables

    + Performing routine administrative tasks such as mail pickup/delivery and general inbox triage and response

    + Conducting data entry, analysis, and reporting to support divisional initiatives

    + Performing other duties as assigned

    Requirements:

    + Bachelor’s degree in business administration, public administration, information management, library science, or a related field and two years of experience in program operations, administrative analysis, compliance, records management, public disclosure, or related work

    + Equivalent combination of education and experience may substitute for a degree while alsodemonstratingcomparable knowledge and skills

    + Demonstrated ability to analyze and interpret data, policies, or regulations and translate them into operational practices

    + Excellent organizational skills with the ability to manage multiple projects, competing priorities, and deadlines

    + Excellent written and verbal communication skills, including the ability to communicate complex information clearly to diverse audience

    + Ability to exercise discretion and sound judgment when handling confidential or sensitive information

    + Effective interpersonal skills with the ability to work effectively both independently and in a team setting

    + Proficiencyin Microsoft Office Suite and ability to quickly learn new software tools (e.g., Workday, Purview, records management systems

     

    Compensation, Benefits and Position Details

    Pay Range Minimum:

    $61,080.00 annual

    Pay Range Maximum:

    $75,000.00 annual
