Responsibilities:
GENERAL PURPOSE
Under the general direction of the Simulation Operations Manager (SOM) with latitude for independent judgement and decision making, this position coordinates all Clinical and Experiential Learning in the School of Nursing (SON). Provides administrative support for the Experiential Learning Center, the Director of Simulation and the SOM. This position requires thorough knowledge of applicable SON courses and experiential learning objectives, sound judgement, professionalism and attention to detail, outstanding communication skills, and the ability to maintain confidentiality and compliance with FERPA regulations while handling faculty and student information.
ESSENTIAL FUNCTIONS
Coordinate & Support Experiential Learning Initiatives
(20%)
+ Coordinate scheduling of all ELC simulation activities with SON Room Scheduler and Simulation IQ program.
+ Primary point of contact to troubleshoot and appropriately triage any technical issues in Experiential Learning Center to Sim-Tech and/or IT.
(35%)
+ Responsible for the logistics and successful execution of numerous educational activities per year, including but not limited to, Objective Structured Clinical Examinations (OSCEs) and On-Campus Intensives for NP students and Poverty Simulations. This involves:
+ collaboration with various SON faculty, staff and offices, as well as external parties (vendors, standardized patients).
+ recruiting faculty and staff volunteers, assigning roles
+ coordinating arrangements for standardized patients
+ developing and managing multiple complicated schedules for faculty, standardized patients and students
+ conducting post event surveys
+ Responsible for all pertinent communications related to the ELC’s educational activities ensuring the appropriate information is disseminated to all interested parties including, but not limited to, students, faculty, staff and standardized patients. Communications will vary by event and management of these individualized communications is critical to the success of each event.
+ Supervises production and assembly of event materials and coordinates available support staff.
Office Support
+ Independently identifies, prioritizes, and manages the suc _cessful de_ livery of support needs for the SON Experiential Learning Center (ELC), the Simulation Operations Manager and the Director of Simulation. May include editing and proofreading and formatting documents; composing routine and non-routine letters, memos, and email messages; coordinating travel arrangements and preparing expense reports.
+ Responsible for timely and effective communications and notifications; prioritizing incoming issues and determining appropriate courses of action, referral, or response.
+ Independently manages calendars using judgement and program knowledge to manage priorities and triage requests.
+ Primary administrative support for the Simulation Committee and the Simulation Team. Independently facilitates meeting arrangements including room scheduling, agendas and guest speakers. Attends all meetings and records all essential points of meeting discussions, decisions, and action items. Maintains confidentiality of all items discussed in meetings. Provides committee/team chair with meeting minutes for review and approval within 1 week of each meeting. Distributes meeting minutes based on committee protocol.
+ Facilitates orders of office supplies, lab supplies and equipment.
+ Develop and maintain database sign in and sign out system for all equipment and lab supplies. Track outstanding circulation items and inspect condition upon return.
Onsite Center Support
+ Primary onsite support and troubleshooting contact during OSCEs, Poverty Simulation scenarios and On-Campus Intensives events.
+ Primary contact for on-site preparation/assistance for Standardized Patients.
+ Provide on-the-fly changes to scenarios as required.
+ Assists simulation/ELC team members as needed and appropriate, including Simulation Technician, SLSS, SOM and Simulation Faculty Educators.
+ Supports instructors and students during course activities.
+ Serves as backup support for experiential learning areas.
Other
+ Other duties, as assigned, in support of experiential learning activities at the SON, including occasional evenings and weekends
MINIMUM EDUCATION & EXPERIENCE
+ Associate's degree and 3 years of progressively responsible experience in administrative support required
+ Or the equivalent combination of education and experience. Required
+ Prior experience working in simulation/nursing labs; experience working in an academic or healthcare environment. Preferred
KNOWLEDGE, SKILLS AND ABILITIES
+ Ability to work both independently and as a part of a team; to communicate effectively with academic and technical colleagues and problem solve in a dynamic environment. Required
+ Ability to take initiative. Strong organizational skills and attention to detail. Required
+ Excellent spelling and grammar skills, the ability to provide clear, succinct and relevant communications in varied formats. Required
+ Advanced Word and Excel skills Preferred
