Job Summary
The Office of Alumni Relations and Development at the David Eccles School of Business is looking for a creative, organized and driven event manager to help us maintain our reputation for impactful events. The event manager will primarily be responsible for creating fundraising, networking, volunteering, educational and social events to drive engagement with the Eccles School and build relationships amongst alumni, donors, students, staff, faculty, and community members.
The position will manage events of all sizes from concept through completion. The ideal candidate is comfortable planning multiple events at the same time, while staying organized, detailed, and keeping the mission, audience, and purpose of each event at the forefront of planning. This role requires the ability to execute in all areas of events, meetings, and conferences – including, but not limited to budgeting, venue scouting, contract review, vendor booking, logistics, room setup, staffing, managing marketing deadlines, content creation, event promotion, run of shows, tech rehearsals, constituent communications, and post-event evaluation.
This person must have excellent communication and leadership skills, and the ability to manage partners, sponsors, staff, and volunteers to effectively execute events. The office typically hosts 60+ annual events and campaigns, including networking socials, board meetings, Eccles School graduation, virtual events, panel discussions, keynote speaker series, a fundraising golf tournament, educational summits, and an annual hall of fame luncheon.
Responsibilities
+ Manage all aspects of event planning while meeting deadlines and budget demands.
+ Plan and facilitate logistics for events, including, but not limited to contract negotiations, guest lists, venue preparation, presentation materials, audio-visual, photography, videography, security, catering, entertainment, transportation, equipment, decor, and marketing materials.
+ Build relationships with vendors, venues, and other industry contacts to craft and implement creative and logistical aspects of all events.
+ Oversee guest experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases.
+ Comply with legal, insurance, health and safety regulations at all times.
+ Research resources, make site visits, and lead pre-event meetings to ensure events are executed smoothly.
+ Manage staff assignments, board members, committee members, agendas, and calendaring.
+ Troubleshoot and handle any issues that arise on the event day.
+ Other duties, as assigned.
Minimum Qualifications
**EQUIVALENCY STATEMENT :** 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).
Requires a bachelor’s (or equivalency) + 6 years or a master’s (or equivalency) + 4 years of directly related work experience.
Preferences
+ Bachelor’s degree in marketing, communication, public relations, hospitality or tourism, or related field.
+ Experience in marketing and/or public relations.
+ Experience in fundraising and working in higher education advancement.
+ Proven success as an event planner or coordinator.
+ Over three years of industry and/or event experience.
+ Strong interpersonal and communication skills.
+ Experience in maintaining and building enriching business relationships.
+ Excellent organizational skills, including multitasking, time management, and meticulous attention to detail.
+ Ability to handle pressure and make split-second decisions.
+ Proficient with Microsoft Office Suite.
