    Koniag Professional Services (KPS) is seeking a proactive and highly organized Operations Coordinator to provide essential operational support to the Policy Directorate within the Chief Digital and AI Office (CDAO). The successful candidate will work closely with the Policy Directorate to ensure timely, proactive, and comprehensive support to leadership.

     

    You will serve as the central logistical hub for the directorate, ensuring smooth day-to-day operations. The dynamic nature of this role requires that the successful candidate be a self-starter, taking the initiative whenever possible, thinking ahead of mission needs, and demonstrating proactivity to identify and solve problems.

     

    The ideal candidate is a master of Department of War (DoW) processes and an excellent communicator who will apply a professional demeanor across internal and external stakeholders. This role requires handling sensitive information with professionalism and discretion, displaying elite multi-project tracking, exemplary time management skills, sound judgment, and tact when interacting with executives. Responsibilities include cultivating productive working relationships across CDAO and USW(R&E), fostering a welcoming and efficient work environment, and applying energetic approaches to new projects and ideas.

    Key Responsibilities:

    Logistical & Operational Support:

    + Serve as a key resource for all staff, providing helpful information and guidance on directorate policies and procedures.

    + Manage all visitor and escort requests for the directorate, including coordinating with security and arranging for parking.

    + As needed, assist in preparing, formatting, and routing official correspondence and tasks using the Correspondence and Task Management System (CATMS), ensuring all documents adhere to DoW writing standards.

    + Ensure appropriate follow-up on action items, redirecting matters to staff or handling them individually.

    + Play a key role in the coordination of staff efforts both within and outside the office and CDAO and USW(R&E).

    + Assist in Front Office activities and processes as they relate to the Directorate, including planning, prioritization, and execution as appropriate, and coordinate work with other CDAO and USW(R&E) staff.

    + Coordinate all aspects of foreign travel for directorate personnel as required; this includes submitting country clearance requests, assisting with official passport and visa applications, and ensuring completion of all mandatory pre-travel training and documentation in accordance with the Foreign Clearance Guide (FCG)

    Executive Support:

    + Work directly with directorate leadership to support all aspects of the daily work routine.

    + Determine priority of matters for executive attention, keep the executive advised of time-sensitive and priority issues, and exercise discretion in committing time and evaluating needs.

    + Assist with processing domestic travel arrangements and vouchers using the Defense Travel System (DTS).

    Knowledge Management:

    + Facilitate introductions between new and existing staff to ensure a smooth integration into the team.

    + Ensure new team members have access to collaborative environments.

    Information organization:

    + Maintain digital filing systems, ensuring that documents and information are easy to find and retrieve.

    Document management:

    + Help create, edit, and manage documents, reports, and other materials, which includes handling the workflow for these documents.

    Data management:

    + Data entry and maintaining databases, specifically related to taskers and task management.

    + Communication management: Handle incoming and outgoing correspondence and manage calendars for meetings, appointments, and speaking engagements for Directorate leadership.

    Maintaining knowledge systems:

    + Responsible for maintaining knowledge management software, such as configuring categories, managing document types, and ensuring the system are up to date.

    Required Qualifications:

    + Must be a U.S. Citizen with an active Secret security clearance and the ability to obtain a Top Secret/SCI clearance.

    + Proven experience in administrative support, office coordination, or staff assistant role, preferably within the DoW or a federal government agency.

    + Direct experience with DoW administrative systems, specifically CATMS and the Defense Travel System (DTS).

    + Strong familiarity with DoW correspondence manuals and official writing formats.

    + Exceptional organizational skills with a high degree of attention to detail and the ability to manage multiple competing priorities.

    + Excellent interpersonal and communication skills, with a customer-service-oriented mindset.

    + Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).

    Preferred Qualifications:

    + An active Top Secret/SCI security clearance.

    + Direct experience providing administrative support within the USW(R&E) or CDAO

    + Experience specifically with processing DoW foreign travel and country clearance requests.

    + Experience supporting Senior Executive Service (SES) or Flag Officer calendars and travel.

    + Experience with GitHub and SharePoint
